Responsibilities

POSITION DESCRIPTION
Hospital Admissions Coordinator

POSITION DESCRIPTION: Assumes the responsibility for the coordination of an effective, efficient admission process for all patients by assisting admissions and business office administration. We are seeking a highly organized, dependable, and detail-oriented individual to join our hospital administrative team. This position plays an important role in supporting patients, physicians, anesthesia, insurance, medical records, and daily hospital operations.

Demonstrates cooperative work attitude toward and with all employees, physicians, physicians’ staff, management, patients, families, visitors, contract service providers and vendors. Consistently interacts in a manner that is friendly, supportive, courteous, respectful, cooperative and professional.

REQUIREMENTS OF THE POSITION:

EDUCATION, TRAINING, AND EXPERIENCE: High school graduate or equivalent; 2 or more years’ clerical experience, preferably in the health care environment with experience verifying insurance and obtaining authorizations.

ELIGIBILITY: Must be able to provide proof of their identity and their right to work in the United States.

SCHEDULE:

Full-time eligible 36 hours per week. Working hours M-F 5:30 A.M. to 1:00 P.M.

KEY RESPONSIBILITIES OF THE POSITION:
  • 1.Check in patients upon arrival and ensure all necessary information is completed accurately.
  • 2.Collect patient financial responsibility, including copays, deductibles, and other applicable balances.
  • 3.Make patient arrival and pre-arrival phone calls to confirm appointments and provide necessary instructions.
  • 4.Distribute incoming mail throughout the hospital to the appropriate departments and staff.
  • 5.Assist with insurance-related duties and administrative questions.
  • 6.Verify patient insurance eligibility and benefits.
  • 7.Assist with medical records and ensure documentation is properly maintained and routed.
  • 8.Coordinate physician lunches by ordering meals and maintaining a monthly restaurant schedule.
  • 9.Monitor physician dictation and follow up to ensure dictations are completed and available as required.
  • 10.Review all surgery scheduling books to ensure procedures are accurately scheduled, entered into the appropriate systems, and reflected on the hospital schedule.
  • 11.Enter and maintain patient demographic and insurance information in the hospital's insurance software.
  • 12.Prepare and send anesthesia case counts and require patient/surgical information for each scheduled procedure.
  • 13.Communicate effectively with physicians, nurses, patients, anesthesia staff, and other hospital departments.
  • 14.Maintain patient confidentiality and comply with HIPAA and hospital policies.
  • 15.Assist with additional administrative duties and projects as needed to support the hospital's daily operations.

ENVIRONMENTAL CONDITIONS
  • 1.Works in well-lighted and ventilated climate-controlled environment with complicated equipment, some equipment with moving mechanical parts.
  • 2.May be exposed to patients who have communicable diseases. With proper techniques, this risk should be minimized.
  • 3.Quiet to moderate noise levels. Must be able to hear alarms on equipment, alarms, calls, overhead pages and instructions from physicians or staff.
PHYSICAL REQUIREMENTS
  • 1.Requires extensive mobility: walking, standing, bending, stooping, kneeling, crouching, or crawling.
  • 2.Ability to sit for long periods of time.
  • 3.Pushing, pulling, and lifting of equipment
  • 4.Requires mental alertness and accuracy for decision making.
  • 5.Requires ability to speak, hear, and to identify and distinguish colors
  • 6.Use of hands to reach, grasp, use fine finger movement and feel fine sensation to discern temperature, texture, size and shape.
  • 7.Repetitive motion required for extensive use of computers.
  • 8.Good visual acuity
  • 9.Ability to lift to 50 pounds.
