Job summary

Home Infusion Pharmacy is seeking an Intake Specialist to join our infusion pharmacy team. You will be the first point of contact for patients and providers, collecting accurate information, verifying insurance, and coordinating infusion therapy appointments.

The ideal candidate has strong medical terminology knowledge, experience with EMR/EHR systems, and excellent customer service in a HIPAA-regulated environment.

Qualifications

• Experience with EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks.
• Knowledge of medical terminology, CPT/ICD coding, and medical billing procedures.
• Strong organizational skills and ability to handle multiple tasks in a fast-paced environment.
• Excellent communication, both verbal and written, with professional phone etiquette and HIPAA compliance.

Responsibilities

• Greet patients and providers professionally and create a welcoming intake area.
• Collect and verify patient information, insurance details, and demographics in EMR systems.
• Review and update medical records for completeness and HIPAA compliance.
• Verify insurance coverage (Medicare/Medicaid) and assist with authorizations.
• Schedule infusion appointments and manage multiple lines on a phone system.
• Document review for care plans, CPT/ICD coding, and billing purposes.
• Coordinate with clinical staff to obtain necessary documentation before treatment.
• Utilize Microsoft Office and EMR tools to maintain accurate records.
• Provide excellent patient service and address inquiries promptly while maintaining confidentiality.

Job Summary
We are seeking a dedicated and detail-oriented Intake Specialist to join our infusion pharmacy team. The ideal candidate will possess strong administrative skills, medical terminology knowledge, and experience with electronic health record (EHR) systems. As an Intake Specialist, you will serve as the first point of contact for patients and healthcare providers, ensuring accurate collection of patient information, insurance verification, and coordination of infusion therapy appointments. Your role is vital in facilitating seamless patient intake processes while maintaining compliance with healthcare regulations and delivering exceptional customer service.

Duties

• Greet patients and healthcare providers professionally, ensuring a welcoming environment at the front desk or intake area.
• Collect and verify patient medical information, insurance details, and demographic data accurately using EMR systems.
• Review and update medical records, ensuring completeness and compliance with HIPAA regulations.
• Verify insurance coverage, including Medicare and Medicaid, and assist with insurance authorization processes.
• Schedule infusion appointments efficiently while managing multiple lines on multi-line phone systems.
• Maintain accurate documentation review for care plans, CPT coding, ICD-9/10 coding, and billing purposes.
• Coordinate with clinical staff to ensure all necessary medical documentation is obtained prior to treatment.
• Utilize computer skills in Microsoft Office.
• Provide excellent patient service by addressing inquiries promptly via phone or in person while demonstrating proper phone etiquette and professionalism.
• Ensure compliance with HIPAA standards during all data handling activities and maintain confidentiality of sensitive health information.

Qualifications

• Prior experience in medical administrative support within a clinical or pharmacy setting is highly preferred.
• Proficiency with EMR/EHR systems such as Epic, Meditech, Athenahealth, or eClinicalWorks.
• Knowledge of medical terminology, ICD-9/10 coding, CPT coding, and medical billing procedures.
• Strong organizational skills with the ability to manage multiple tasks efficiently in a fast-paced environment.
• Excellent communication skills—both verbal and written—and professional phone etiquette.
• Experience with insurance verification processes including Medicare and Medicaid is desirable.
• Bilingual abilities are a plus to serve diverse patient populations effectively.
• Familiarity with office management software such as Microsoft Office (Word, Excel) is required.
