Responsibilities

  • Coordinates and supervises daily operations of the Home Delivered Meals Program
  • Manages consumer assessments, surveys, and referrals; updates client data
  • Prepares and maintains the employee roster for meal deliveries
  • Provides quality service to clients and refers to other departments as needed
  • Supervises staff; conducts counseling and guidance
  • Issues orders to caterers/vendors for meals and related items
  • Maintains filing system, service records, and data for reporting
  • Represents the agency at meetings, audits, and community events
  • Intakes new clients according to CA Get Care waitlist priorities
  • Develops outreach strategies and materials for the target population
  • Ensures timely delivery of hot meals and supplies to sites
  • Submits invoices and receipts for payment processing
  • Conducts regular staff meetings and trainings
  • Develops resources for program operation and improvements
  • Supports fundraising activities and other duties as assigned
  • Performs other duties as needed

Title: Home Delivered Meals Coordinator

Department: Nutrition and Senior Centers

FLSA Status: Non-Exempt

Reports To: Home Delivered Meals and Transportation Program Manager

Summary:

Acts as the site in charge of the Home Delivered Meals (HDM) Distribution Center and oversees the day-to-day operations of the HDM Program.

Essential Functions:
  1. 1. Coordinates and supervises the day-to-day operations of the Home Delivered Meals Program and home-delivered groceries and ensures compliance with food safety regulations and policies.
  2. 2. Supervises consumer assessments, surveys, and referrals. Updates client data and status in CA Get Care.
  3. 3. Ensures the employee roster is prepared for efficient meal deliveries.
  4. 4. Provides quality services to new and existing clients and makes referrals to other departments and agencies.
  5. 5. Supervises and evaluates staff and provides counseling and guidance as needed.
  6. 6. Issues orders to caterers/vendors for hot meals, frozen meals, milk, and fruits.
  7. 7. Maintains a filing system, service records, and client records and collects data to prepare reports.
  8. 8. Represents the agency/department to attend meetings/audits and events of other community organizations.
  9. 9. Intakes new clients according to the priority in the CA Get Care waiting list to fill the openings in routes.
  10. 10. Prepares HDM outreach strategies and outreach materials for the target population.
  11. 11. Ensures hot meals and supplies are delivered to congregate meal sites on time.
  12. 12. Submits invoices and gasoline receipts to head office for payment processing.
  13. 13. Holds regular staff meetings and in-service training.
  14. 14. Develops resources to support program operation and recommend operational improvements.
  15. 15. Supports agency/department fundraising and activities.
  16. 16. Performs other duties as assigned.
Qualifications:
  1. 1. Bachelor's degree in Business Administration, Psychology, or Human Services related field; and two years of supervisory and program operation experience.
  2. 2. One year of experience working with older adults and adults with disabilities.
  3. 3. Good interpersonal, communication, and organizational skills.
  4. 4. Must be bilingual in English and Chinese.
  5. 5. Proficient in MS Office and the Internet.
  6. 6. Must have and maintain a valid CA driver's license and automobile insurance as specified in Self-Help's policies.
