JOB SUMMARY
Under the supervision of the Health Information Services Manager, the Health Information Services Technician is responsible for maintaining and protecting patient confidentiality of medical records. Provide clerical support for the Health Information Services department including maintaining medical charts, documenting data entry and retrieval, and answering incoming calls. Provide accurate and appropriate information and assistance with outside facilities as well as in-house staff.
JOB DUTIES AND RESPONSIBILITIES
- Maintenance of Electronic Health Records
- Processing and distribution of incoming mail for the clinic into mailboxes or satellite bins.
- Processing of documents prior to scanning for efficient indexing.
- Processes, documents, and appropriately distributes incoming faxes, both in paper and digital format.
- Accurately scan records for indexing into NextGen EHR with excellent quality.
- Evaluate and import Faxes from electronic system in preparation for Indexing into Document management software.
- Accurately indexes documents into the correct document type in the correct patient chart.
- Send tasks and provide approval documents as necessary.
- Evaluate incoming faxed prescriptions and inputs into the Medical Module for clinician processing.
- Evaluate incoming orders from external organizations that require provider approval and distribute, document disposition of orders, and return signed orders to originator.
- Assists with mortality reports to assure clinician completion.
- Sends out, and imports clinician transcription into EHR.
- Obtains outside records from other medical facilities using secure access in response to requests for records.
- Processes records using interface software (Rosetta Holding Tank) to accurately match and file documents.
- Scan and index documentation into EHR for Dental Center.
- Assist Billing dept. by obtaining consult documentation for hospital billing, creating new charts when necessary.
- Merge duplicate charts when identified.
- Process incoming checks by entering onto the check log for Finance.
Clerical Responsibilities/Information Assistance
- Answers telephone calls for patient chart requests, reports, and additional information needed by authorized personnel.
- Process requests for records in accordance with State of California guidelines.
- Assist the Referrals Center with follow up of referrals made by assuring the completed reportsare in the patient chart. Making phone calls to specialty offices as necessary.
- Performs other duties as assigned.

EDUCATION & EXPERIENCE
- Minimum 1 year of healthcare related experience in the area(s) of direct patient care, medical records, patient registration, scheduling, claims and/or information technology within a hospital or clinic, or the equivalent in education and experience
PREFERRED
- Associate’s degree in health information, business, or related field.
- RHIT or RHIA certification
- Experience with Microsoft Office programs (Word, Excel, Power Point etc.)
- Experience with NextGen
