Apex Design Build is a design-build firm specializing in healthcare practices. We are seeking a dynamic Preconstruction Coordinator to support our growing organization and act as a liaison between Apex and its subcontractors, vendors, and consultants.

The role provides direct support to Preconstruction Managers with project permitting and coordination from early design through project completion. The Project Coordinator will assist with documentation, communications, and handovers, ensuring

Qualifications

• Bachelor’s degree preferred.
• Previous work experience in related field, preferred.
• Working knowledge of MS Office Applications (Word, Excel, Project, and Outlook).
• Strong analytical and problem-solving skills.

Responsibilities

• Maintain and update contacts in BuilderTrend; share with team via Outlook contact cards.
• Assist Preconstruction Managers with permit documents and applications. Deliver plans and applications to city/town.
• Coordinate communication with consultants, subcontractors and vendors to gather data and align design, construction, and engineering documents.
• Assist with preparing Letter of Intent documents and change orders.
• Collect certificates of insurance from subcontractors and file with municipality when needed for permits.
• Attend internal preconstruction meetings and track meeting minutes.
• Assist with handover meetings/checklists and ensure action items are followed up.
• Assist with project handover to Operations and schedule handover meeting.
• Support with other project tasks (signage research, appearance review apps, meetings with city/town).
• Maintain timelines input into Smartsheet and assist printing/binding of documents.
• Assist Preconstruction on special projects including estimating.
