Job summary

Sun Communities, Inc. is seeking a Guest Services Coordinator at our Buckeye, AZ resort to support the RV Resort Manager with administrative tasks, guest relations, and daily operations.

Responsibilities include greeting guests, processing payments in Yardi, managing reservations, handling inquiries, coordinating events, and maintaining records. A friendly, professional appearance and strong telephone skills are essential.

Qualifications

  • High School Diploma or GED is required.
  • 2 years of administrative experience is required.
  • 6 months experience with property management and/or reservation systems preferred.
  • 6 months front desk experience preferred.
  • Excellent telephone skills and professional appearance.
  • Proficiency with Microsoft Office and data entry.

Responsibilities

  • Greets guests and establishes rapport with current and prospective residents.
  • Maintain petty cash and record expenditures in proper accounts.
  • Answer phones, type, photocopy, file and perform other duties as assigned.
  • Process deposits, fees, rent, inspections and other charges in Yardi.
  • Prepare and distribute resort communications and newsletters.
  • Assist with guest reservations in person and by phone.
  • Ensure office supplies are stocked and order as needed.
  • Plan and coordinate guest/resident events and activities.

Career Opportunities: Guest Services Coordinator (137431)

Guest Services Coordinators handle the routine office work and administrative responsibilities of the resort, working closely with the RV Resort Manager and other team members.


Job Duties


  • Greets and establishes rapport with guests, current and prospective residents. Fields resort comments, suggestions, and complaints to the RV Resort Manager (Essential)

  • Maintains the petty cash fund, ensuring to record expenditures in the proper accounts (Essential)

  • Performs general administrative functions such as answering phones, typing, photocopying, faxing, filing, and other duties as assigned (Essential)

  • Collects and posts resident security deposits, processing fees, rent, inspection, application or other miscellaneous fees in Yardi; records in the proper accounts and issues receipts (Essential)

  • Prepare and distribute resort communications such as rule reminders, violation notices, newsletters, etc.

  • Assist with accepting guest reservations in person and via phone

  • Ensure office supplies are sufficiently stocked and prepare supply orders as needed

  • Assist with planning and coordinating guest and resident relations events and activities within the resort

  • Assist with the preparation of marketing materials

  • Make collection calls for site rental payments as directed; submit bad debt files to collections

  • Process resident move-ins and move-outs

  • Complete and maintain resort records, reports, and files

  • Refer sales prospects to the RV Resort Manager and/or Sales Manager and enter prospect information into property management/reservation system in a timely manner

  • Obtain approvals on prospective resident applications; track all approvals and denials

  • Assist prospective residents by checking the status of Sun Homes inventory; review home listings, show homes, and assist with rental applications

  • Review and code invoices and other payables & submit to manager approval

  • Other duties as assigned

  • Check guests in and out for their reservations

  • Greet and establish rapport with guests, current and prospective residents

  • Field resort comments, suggestions, and complaints to resort leadership


Requirements


  • High School Diploma or GED (Required)

  • 2 years in administrative experience (Required)

  • 6 months in previous experience using property management and/or reservation systems (Preferred)

  • 6 months in hotel or resort front desk experience (Preferred)

  • Excellent telephone skills

  • Professional appearance

  • Intermediate to advanced computer proficiency, with ability to use Microsoft Office Suite, email, the internet, and provide data entry in a timely and efficient manner

  • Must have a valid driver's license
