Job description

Guest Communications Coordinator (Global Sporting Event - Contract)
Location: New York, NY, US
Description

The Guest Communications Coordinator will support and lead the development, maintenance, and reporting of all data related to guests attending The iLUKA Collective’s global events.

This is a contract role starting summer 2025 until August 2026, working on a client project for the Global Sporting Event in the US in 2026.

Key Responsibilities:
  1. Serve as the first point of contact for guest queries and data changes, pre-event and on-site, via email, phone, and face-to-face interactions.
  2. Manage data and generate regular reports for clients, service providers, and internal teams using The iLUKA Collective's bespoke database (Pulse).
  3. Develop and maintain professional relationships with clients, service providers, and team members to ensure clear communication.
  4. Communicate data changes to all relevant parties as necessary.
  5. Produce guest correspondence following client and The iLUKA Collective guidelines.
  6. Handle guest queries promptly and professionally.
  7. Distribute operational reports regularly.
  8. Assist in training event staff.
  9. Ensure compliance with GDPR and other data regulations at the event location.

This list is not exhaustive; all team members are expected to contribute to other business aspects as needed.

Skills, Knowledge, and Expertise:
  1. Fluency in English is essential; Spanish fluency is a plus.
  2. Excellent IT skills, including advanced knowledge of Office Suite (Word, Excel, PowerPoint).
  3. Experience with system management.
  4. Ability to prioritize a demanding workload.
  5. Strong time management skills to meet strict deadlines.
