Guest Communications Coordinator (Global Sporting Event)

The Guest Communications Coordinator will support and lead in developing, maintaining, and reporting all data related to guests attending The iLUKA Collective’s global events.

This is a contract role starting summer 2025 until August 2026, working on a client project for the Global Sporting Event in the US in 2026.

Key Responsibilities
  • Serve as the first point of contact for guest queries and data changes, pre-event and on-site, via email, phone, and face-to-face communication.
  • Manage data and produce regular reports for clients, service providers, and client teams using The iLUKA Collective's bespoke database (Pulse).
  • Develop and maintain professional relationships with the client, service providers, and client teams to ensure clear communication.
  • Communicate data changes to all relevant parties as necessary.
  • Produce guest correspondence adhering to client and The iLUKA Collective guidelines.
  • Promptly and professionally manage guest queries.
  • Distribute regular operational reports.
  • Assist in training event staff.
  • Adhere to GDPR and other data regulations relevant to the event location.

This list is not exhaustive; all team members are expected to contribute to other aspects of the business as needed.

  • Fluency in English is essential; fluency in Spanish is beneficial.
  • Excellent IT skills, with advanced knowledge of Office, Word, Excel, and PowerPoint.
