Job summary

Equinox Hotels in Hudson Yards, NY, is seeking an Account Services (Groups) Coordinator to support the group sales team from contract through arrival and departure. You will maintain group records, enter details in Delphi/HMS, and liaise with CORE Reservations, Front Office and Accounting to ensure accurate, timely communications.

You will provide responsive service, produce group resumes and reports, and help resolve billing discrepancies while keeping meticulous records and fostering

Qualifications

• Strong English communication (speaking, reading, writing) with guests and colleagues.
• Detail-oriented with high accuracy and strong follow-through.
• Excellent organizational skills to manage multiple groups and deadlines.
• Ability to work flexible shifts including weekends/holidays.
• Proficient in MS Office, Delphi, HMS; knowledge of PMS/CRS is preferred.
• 1–2 years in hospitality sales, account services, or group reservations (Desirable).

Responsibilities

• Maintain updated files and records for upcoming groups.
• Enter and maintain group and rooming information in Delphi, HMS and applicable hotel systems.
• Ensure Delphi and HMS data alignment, including room blocks and rates.
• Prepare group documentation and billing instructions.
• Provide reports on group reservations, room blocks and pickups as requested.
• Coordinate with internal teams and external clients for smooth group turnover.
• Attend group meetings and assist with resumes, notes and communications.
