Job description

Administer foundation and corporate grants, develop proposals and reports, research funding prospects, and coordinate budgets, deadlines, records, and award requirements. Support government grant opportunities led by the Director of Grants. Coordinate cross-departmental contributions from proposal development through closeout.

Responsibilities

  • Maintain the grants calendar and coordinate proposals, reports, renewals, deliverables, and closeout. Help the Director develop project management processes and clear internal handoffs.
  • Research, draft, edit, and assemble proposals and supporting materials aligned with funder requirements and Gleaners’ programs. Submit proposals after the Director’s final review and Finance’s review of proposal budgets.
  • Prepare grant reports, track submission status, and assist with funder meeting and presentation materials under established review and authorization procedures.
  • Prepare and track grant-specific budgets using program budgets originating in Operations, adapting them to funder formats in collaboration with the Director and Finance.
  • Obtain financial information, invoices, program outcomes, and supporting documentation from responsible departments. Coordinate resolution of discrepancies and missing information before inclusion in grant materials.
  • Monitor award restrictions and deliverables. Document and promptly escalation late deliverables, inconsistent spending, and other potential compliance concerns to the Director; track follow-up and support resolution as directed.
  • Research and recommend new foundation and corporate funding prospects for the Director’s assessment.
  • Maintain complete, confidential records in Raiser’s Edge and approved systems, including proposals, agreements, amendments, budgets, reports, and closeout records. Organize files for authorized access and continuity.
  • Coordinate with Marketing & Communications on required funder recognition and award fulfillment.
  • Model Gleaners’ mission, values, accountability, and respectful collaboration. Perform other duties assigned by the Director to advance the department’s strategic priorities.
  • Develop proposals and grant-specific budgets and manage submissions and tracking under the Director’s direction. The Director retains funding strategy, funder relationships and communications, final review, broader budget coordination, and compliance resolution with Senior Director support.
  • The Director and/or Senior Director who holds the relationship handles issue-related funder communications.
  • Follow established authorization procedures for grant commitments.
  • Workload averages four to six grant projects monthly, including proposals and active-award reporting: approximately 50% pre- and post-award administration, 30% proposal writing, and 20% prospect research.
  • Success includes timely submissions and closeout, accurate materials and complete records, prompt escalation, and relevant funding prospects; annual targets and the shared revenue goal are established with the Director.

Qualifications

  • Bachelor’s degree in business, English, nonprofit management, finance, or a related field, or equivalent relevant experience.

Required Skills

  • Strong proposal writing, research, analytical, communication, and project management skills; ability to coordinate deadlines and cross-departmental contributions.
  • Knowledge of grant requirements, compliance monitoring, budget tracking, and records management.
  • Proficiency in Microsoft Office, CRM systems, and grant tracking tools; commitment to Gleaners’ mission.

Preferred Skills
