Job summary

A humanitarian organization based in New York seeks a Grants Management Associate to support its core grantmaking portfolio. Job description

American Jewish World Service (AJWS) is the leading Jewish organization working to promote human rights and end poverty in the developing world. Overview of Division

AJWS’s programs division works to build civil society in select countries in Africa, Central America and the Caribbean, and Asia by supporting non-governmental organizations (NGOs), community-based organizations (CBOs), grassroots human rights groups, and larger social change organizations that are advancing human rights. AJWS partners with organizations that work on four critical issues: Sexual Health and Rights, Civil and Political Rights, Natural Resource Rights, Humanitarian Response. AJWS’s International Operations Department (IOPS) provides grants management support for a $15 million core grantmaking portfolio as well as additional grantmaking through a donor-advised fund. AJWS uses the Salesforce foundationConnect grants database system

About the Position

The Grants Management Associate is responsible for supporting the grants management team in implementing AJWS’s core grantmaking portfolio. S/he is exceptionally systems-oriented with strong attention to detail and organizational abilities. In collaboration with other IOPS colleagues, s/he works closely with program teams to administer hundreds of grants and liaises with the Finance Department to ensure that payments are made in a timely manner. The Grants Management Associate reports to the Associate Director of International Operations & Grants Management and works in conjunction with the entire Programs Division, as well as the larger organization, to ensure the effective management of AJWS’s core grantmaking. This position is a one-year fixed term with the potential to be extended.

Key responsibilities include but are not limited to:

  • Administer approximately 300-400 grants per year, including regular communication with grantees, sending grant agreements and tracking grant reporting;
  • Ensure grants comply with legal and IRS regulations and AJWS requirements, and maintain proper records of all grants;
  • Process twice-weekly grant payments, working closely with the Finance Department;
  • Create and run reports and searches in the grants database to support staff in accessing grant statistics needed for their work;
  • Monitor integrity of grants data; take on data clean-up and entry projects as needed;
  • Train AJWS staff, consultants and grantees on the use of the grants management database;
  • Assist in maintenance of grants-related policy and procedures manual, including designing and updating materials on division-wide procedures and training division members;
  • Develop and maintain strong relationships with program staff for day-to-day activities and to coordinate division-wide projects;
  • Support the creation of grant dockets by consolidating grants data in partnership with program departments;
  • Participate in department- and organization-wide initiatives such as task forces and working groups when appropriate;
  • Actively participate in peer-learning and networking through PEAK Grantmaking and other professional organizations; and
  • Respond to department inquiries including communication with international grantees and colleagues; help oversee grants email inbox.

Qualifications

  • BA/BS required;
  • Minimum two years’ previous work experience (nonprofit/grantmaking experience a plus);
  • Strong interest in administrative systems creation and processes;
  • Skilled in Microsoft Office Word, Outlook, and PowerPoint, with particularly strong Excel skills;
  • Experience working with databases required;
  • Detail-oriented with strong organizational skills and able to meet deadlines;
  • Ability to manage relationships, including regular communication with International Programs Division and Finance staff, as well as international grantees;
  • Excellent writing and communication skills;
  • Knowledge of French, Haitian Kreyol, and/or Spanish a plus;
  • Interest in being a part of a dynamic and evolving team and organization.
