Job summary

American Jewish World Service (AJWS) in New York seeks a Development Operations Officer to support gift processing, donor acknowledgments, and donor services. You will generate reports, ensure data quality, and assist with the annual audit while organizing in-house mailings.

Responsibilities

  • Manage internal mailing projects and coordination with internal teams and external vendors
  • Support the Associate Director for Development Operations on third-party portals including verifying matching gifts and online verification
  • Respond to donor inquiries via mail, email and telephone; update donor data
  • Support Salesforce data processing, reporting, data hygiene and gift processing; assist with reports/exports
  • Open and code mail; resolve gift coding issues with attempts to reconcile
  • Provide backup support and cross-functional assistance for the Development Operations team; compile revenue documentation for audits
  • Receive and process invoices for Development Operations and direct mail
  • Other related duties as assigned.

Overview of Team

The Development Division at AJWS is responsible for raising the revenue that supports AJWS’s grantmaking and advocacy. The Division includes the following departments: Institutional Giving, Major Gifts and Planned Giving, Development Operations and Donor Engagement. Members of the Division partner closely with the Communications and Marketing, Programs, Finance and Administration and People and Culture teams, as well as the Executive Office and Board of Trustees, instilling a culture of philanthropy across the organization. The Division is responsible for cultivating, stewarding and soliciting donors, building a deep connection and commitment to our work for our supporters. Every team member of the Development Division contributes to achieving our annual fundraising goal.

The Development Operations team is responsible for the infrastructure of AJWS’s development efforts, managing the development-focused databases systems, reporting, data analysis and modeling, donor and gift related data processing, reconciliations, audits, and acknowledgements. Additionally, Development Operations oversees the prospect and portfolio management, pipeline building and prospect research for the full fundraising team.

Position Summary

The Development Operations Officer position reports to the Development Operations Manager. The primary responsibilities of this position are to support the Development Operations team by performing activities related to gift processing, donor acknowledgments, and donor services (email/phone communications); creating and providing reports; supporting gift data quality control, and providing support for the annual audit. This position also manages the organization of Development Division in-house mailings. This position requires one day per week in office.

Job Description:

Responsibilities include but are not limited to:

  • Manage semi-weekly gift acknowledgment production process and deliver materials to external vendor; maintain external vendor materials inventory; provide backup support to maintain format and function of donor acknowledgement letters and reports within the donor CRM;
  • Manage internal mailing projects and coordination with internal teams and external vendors;
  • Support the Associate Director for Development Operations on third-party portals including verifying matching gifts, ensuring timely processing of applications for online verification of matching gifts; serves as Development liaison with external vendor by performing daily quality control and syncing of donor gift data from online giving platforms;
  • Respond to donor inquiries via mail, email and telephone, collect credit card contributions, update donor data, keep staff informed of updates and communications from donors;
  • Support the Development Operations team with various daily Salesforce data processing and entry projects, including reporting, data hygiene, and gift processing; provide backup support on general gift processing and processing of restricted gifts; fulfill AJWS Development staff requests related to Salesforce updates, inquiries, and reports/exports;
  • Manage weekly and/or as needed opening and coding mail; collaborate with Associate Director for Development Operations to resolve gift coding issues;
  • Provide cross-functional support to the Development Operations Department and serve as backup support as needed; compile supporting revenue documentation for annual revenue audit;
  • Receive and process invoices for Development Operations and direct mail;
  • Other related duties as assigned.

Required qualifications:

  • Bachelor’s Degree or 5+ years comparable work experience;

  • Highly computer literate; advanced knowledge of Microsoft Office;
  • Experience with Salesforce or similar CRM;
  • Strong commitment to the mission of AJWS.

Preferred qualifications:

  • Moderate to advanced knowledge working in Salesforce; experience with Apsona, Springboard, and Asana a plus;
  • Advanced knowledge of MS Word and Excel;
  • 1+ years customer service experience

Additional Information:

  • Salary range: P2/$60,000-$77,000
  • This role is full time (40 HRS), Exempt
  • This is a union position
