Job summary

The International Rescue Committee seeks a Grants Coordinator to advance funding opportunities through prospecting, proposal and budget development, donor management, and sub-award oversight. The role engages leadership, development, finance, and program staff to prepare pre- and post-award activities and submit institutional proposals.

You will lead proposal sections, coordinate grant processes, and ensure alignment with log frames and program design.

Qualifications

• Undergraduate degree or certificate in non-profit management or related field, or comparable work experience.
• Three+ years of proposal writing, log frame development, and budget management experience preferred.
• Familiarity with refugee resettlement and immigration support services is a plus.
• Ability to work autonomously while collaborating with different teams to meet deadlines.
• Excellent writing, research, and organizational skills.
• Strong interpersonal skills and team collaboration ability.
• Proficiency with Microsoft Office, cloud apps, and project management tools (Asana a plus).
• English communication—written and spoken—is essential.
• Familiarity with the Northern California nonprofit/philanthropy environment is a plus.

Responsibilities

• Support prospecting for new opportunities, preparing letters of inquiry, proposals, budgets and reports to local foundations and other donors.
• Lead concept note, proposal, and budget development ensuring log frames, program design, and narrative meet high quality standards.
• Write key proposal sections and edit input from team members.
• Lead negotiation and agreements stage with donors and ensure terms are communicated with Finance and Programs.
• Coordinate grant opening and closing meetings for each grant in portfolio.
• Modify final budgets as requested by donor and Site Director/Program lead and communicate with Finance and RAM.
• Be a local subject expert for IRC’s Business Development Standards.
• Prepare interim and final reports to grantors with Finance, Site Director, and program staff.
• Promote and participate in initiatives to build team engagement, inclusion, and cohesion.
• Foster ongoing learning, honest dialogue, and reflection to strengthen safeguarding and promote IRC values.

The role involves pre- and post-award activities to prepare and submit institutional proposals, working collaboratively with leadership, development, finance, and program staff.

Requirements

• Undergraduate degree/certificate in non-profit management or a related field or comparable work experience.
• Three+ years of professional experience in proposal writing, log frame development, and budget management preferred.
• Familiarity with refugee resettlement and immigration support services such as social work, mental and physical health, economic empowerment, and workforce development is a plus.
• Ability to work autonomously while working collaboratively with different teams to meet deadlines.
• Excellent writing, research, and organizational skills.
• Self-directed but with strong interpersonal skills and the ability to work well within a team.
• Proficiency in Microsoft Office applications, cloud-based applications, project management apps, familiarity with Asana a plus.
• Excellence in written and spoken English.
• Ability to deliver high quality products against a tight schedule.
• Familiarity with the Northern California non-profit/philanthropy environment a plus.
