Job description

Position Title: Grants & Contracts Manager

Reports To: Director of Program Compliance & Grants Administration

Location: This is a Michigan-based remote position. The candidate must reside in Michigan or be willing to relocate. Occasional travel within the state or to other geographical areas for projects, ECIC meetings and to meet the needs of the organization.

Schedule: Example: Monday - Friday

Salary Range: $60,670 - $67,411

Class: Exempt

Position Summary:

The Grants & Contracts Administrator provides critical support to the full lifecycle of grants and contract administration, ensuring compliance with Uniform Guidance and alignment with organizational goals. This role collaborates with internal teams and external partners to manage funding sources, contract execution, and regulatory compliance.

Key Responsibilities:

  • Oversee the identification of funding sources, proposal submissions, sub-award issuance, and post-award administration (financial and non-financial).
  • Manage the contract development process, ensuring compliance with funder and regulatory requirements, including Uniform Guidance.
  • Collaborate with program and finance teams on the management of grant accounts, including budgets, financial projections, and reporting.
  • Ensure adherence to funding guidelines, regulatory compliance, and best practices in grants and contracts administration.

Duties and Responsibilities:

  • Manage grant and contract budgets, reporting, and compliance timelines throughout their lifecycle, ensuring accurate financial tracking and adherence to requirements.
  • Assist Senior Directors with grant proposal development and organization of materials.
  • Manage and oversee the contract development process to ensure compliance and proper execution.
  • Prepare, review, and submit financial reports, including reimbursement, expenditure, grant, and forecasting reports, while liaising between Finance and Program Teams and coordinating necessary approvals.
  • Review and approve grantee and subrecipient budgets and financial reports, and implement financial monitoring processes, including account reconciliation, tracking budgets to actuals, and ensuring expenditure appropriateness for awards and subawards.
  • Conduct payment reviews, monitoring, and compliance testing for subrecipients, and coordinate monthly reimbursement report submissions to meet funder requirements.
  • Ensure receivables are properly handled, deposited, and recorded within cost centers and fund codes in collaboration with the Sr. Accountant.
  • Maintain financial records in alignment with contract requirements and document retention policies and obtain necessary approvals and authorized signatures on required forms.
  • Foster high-touch communication with senior leadership, team members, and stakeholders to ensure grant compliance and alignment with ECIC’s mission, strategy, and goals. Knowledge, Skills, and Abilities:
  • Education Requirement: Bachelor’s degree with five (5) years of overall relevant work experience, with at least three (3) years of paid work experience in grants management or related field.
  • Proficient in Microsoft Office, including intermediate to advanced Excel Skills (i.e. data analysis, formulas, pivot tables, chart creation, etc.)
  • Working knowledge of federal/state and philanthropic grants management and compliance including budget development and review.
  • Demonstrated commitment to racial equity and equity as a whole.
  • Ability to communicate clearly, concisely, and professionally both verbally and in writing.
  • Ability to maintain accuracy and attention to detail while managing multiple tasks, projects, and timelines.
  • Ability to use data and analytical skills to proactively identify opportunities, set priorities, and solve problems.
  • Strong interpersonal and relationship building skills.
  • Ability to partner with racially and ethnically diverse colleagues and community members.
  • Demonstrated proficiency in using databases, reporting systems, and project management systems.

Physical Requirements:

  • Talking - Expressing or exchanging ideas by means of the spoken word to impart oral information to others accurately. (4-5 hours daily)
  • Hearing - Perceiving the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication, and to make the discriminations sound. (4-5 hours daily)
  • Walking - Moving about on foot to accomplish tasks, particularly for long distances or moving from one work site to another. (1-2 hours daily)
  • Standing – In one position, particularly for sustained periods of time. (1-2 hours daily)
  • Visual Acuity – Viewing objects with close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; and/or extensive reading. (5-6 hours daily)
  • Office Setting - Sedentary work in which exerting up to 10 pounds of force is occasional and a negligible amount of force is frequently or constantly used to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Work Location Remote work based in Michigan with occasional travel within the state or to other geographical areas for projects, ECIC meetings and to meet the needs of the organization.
