As our Grants and Contracts Manager, you’ll be responsible for overseeing and managing all aspects of grant funding and contractual agreements for BWW. This role ensures compliance with grant and contract requirements, supports program and development teams in meeting reporting obligations, and strengthens the organization’s infrastructure for securing, managing, and stewarding funding. The Contracts and Grants Manager will collaborate across departments to streamline administrative systems, maintain strong relationships with funders and partners, and support the strategic goals of BWW through sound fiscal and operational grant practices..

Key Responsibilities
Grant and Contract Management
- Oversee the full lifecycle of grants and contracts, including pre-award, post-award, compliance, and closeout activities.
- Develop and maintain systems for tracking proposals, reporting deadlines, deliverables, and spending.
- Work with program teams to draft and submit progress reports, invoices, and compliance documentation in alignment with funder requirements.
- Review grant and contract terms, ensuring all obligations are clearly communicated and understood across departments.
- Support the development team in preparing budgets and narratives for new grant applications and renewals.
Administration & Infrastructure
- Implement and maintain organizational systems that ensure accurate record-keeping and efficient contract and grant management processes.
- Regularly assess and refine systems to support cross-functional efficiency, alignment, and compliance.
- Support organization-wide grant readiness, including staff training and internal coordination on grant administration and deliverables.
- Collaborate with the finance director, fund accountant, and program managers to monitor grant spending, reconcile budgets, and ensure funds are used in accordance with donor restrictions and federal/state guidelines.
- Provide guidance and administrative support to program managers on tracking grant-funded activities, staffing, and outcomes.
- Assist in aligning program goals with grant deliverables and organizational strategy.
- Work with program director/manager to monitor outcomes and incorporate this information into program planning
Stakeholder & Funder Relations
- Serve as a liaison to funders, government agencies, and partner organizations regarding grant and contract matters.
- Represent the organization in communications related to grant performance, compliance, and updates.
- Coordinate internal meetings and cross-departmental efforts to ensure shared understanding of grant obligations and timelines.
Human Resources & Compliance Support
- Provide input on staffing allocations tied to grant funding.
- Ensure that job descriptions align with grant scopes and requirements.
- Support onboarding and training of staff on compliance-related matters tied to funding streams.
Requirements
What We’re Looking For
Required:
- Bachelor's degree in Business Management, Business Administration, Public Administration, Finance, or related field; Master’s degree preferred.
- Minimum 5–7 years of experience managing grants and contracts in a nonprofit setting.
- Strong understanding of nonprofit finance and grant compliance (including private foundation, federal and state grants), and program budgeting.
- Proven ability to build systems, streamline processes, and manage multiple complex projects with competing deadlines.
- Strong Analytical and problem solving skills.
- Excellent interpersonal, organization and communication skills, with experience working across teams and with external stakeholders.
- Ability to work independently and as part of a team.
- Attention to detail and a commitment to accuracy.
- Proficiency in Microsoft Office 365 (including Excel), Google Workspace, Zoom platform, Adobe, DocuSign, and donor or grant management systems.
Knowledge, Skills and Abilities:
- Experience working in community-based or social justice organizations, especially those focused on health equity and racial justice.
- Familiarity with CRM platforms.
- Experience in grant writing and proposal development.
- Knowledge of federal, state, and private funding regulations and guidelines.
- Familiarity with 2CFR Part 200 and federal contract regulations.
- Experience managing time-bound projects.
- Proficiency in Microsoft Office 365 (including Excel), Google Workspace, Zoom platform, Adobe, DocuSign, and donor or grant management systems.
- Excellent communication, organizational, and time management skills.
- Proficient in Microsoft Office, Google Workspace, Zoom, and Slack.
- Ability to work independently and adapt to a fast-paced environment.

Professional office environment, with the option for hybrid as determined by organizational needs. The role requires regular interaction with staff, funders, and community partners, both virtually and in person. Standard office equipment such as computers, phones, and printers will be used frequently. Occasional attendance at events, funder meetings, or community gatherings may be required, some of which may take place during evenings or weekends.

Physical Requirements:
- Prolonged periods of working on a computer and sitting or standing at a desk.
- Occasional walking, bending, or lifting of items up to 20 pounds (e.g., documents, event materials).
- Ability to travel locally or regionally for site visits, events, or partner meetings, as needed.
Mental and Cognitive Requirements:
- Strong attention to detail, especially when managing grant timelines, budgets, and compliance documentation.
- Ability to manage multiple deadlines, priorities, and administrative tasks efficiently and independently.
- Sound judgment and analytical skills for interpreting grant and contract terms, monitoring progress, and supporting program alignment.
- Effective communication skills for collaboration across departments and with external partners.
- High degree of discretion and professionalism when handling confidential and sensitive information.
