Position Summary:

Are you passionate about sustainability and want to help communities access funding for impactful projects? The Sustainability Institute at The College of New Jersey is seeking a Program Assistant to support the Sustainable Jersey Grants Program—a growing initiative that provides critical funding to municipalities and schools working toward a more sustainable future.

The Program Assistant will play a key role in supporting the Sustainable Jersey Grants Program, which continues to expand its impact for local governments and school districts. This position is ideal for a detail-oriented, organized professional who enjoys working in a mission-driven environment and engaging with communities to help them access funding for sustainability projects.

Working closely with the Grants Program Manager, the Program Assistant will help execute annual grant cycles, provide hands-on technical assistance to applicants and grantees, manage program data and tracking, monitor project progress, and support outreach and reporting efforts. This is an opportunity to contribute to a high-impact program that directly supports local sustainability efforts.

Main Responsibilities:

Grants Program Management

  1. Assist in the seamless execution of annual grant cycles, from application development and processing to reviews, grantee notification, and ongoing administration.
  2. Monitor grantee progress, ensuring timely reporting and compliance with program requirements.
  3. Serve as a resource for grant recipients, helping them navigate the grant process and maximize their impact.

Data Management and Reporting

  1. Maintain and update accurate data records, including tracking grant applications, awards, and project progress.
  2. Assist in preparing performance reports and presentations that highlight program success and inform stakeholders.
  3. Identify opportunities to improve data management processes for better efficiency and impact measurement.

Outreach and Communications

  1. Help develop and distribute communications that promote grant opportunities and share inspiring success stories.
  2. Provide direct technical assistance to applicants and grantees, answering questions and offering guidance.
  3. Collaborate with the team to create compelling materials that increase awareness of available funding and support grantees in their sustainability projects.

Program Support

  1. Coordinate logistics for grant-related meetings, webinars, and events.
  2. Assist with the development of user-friendly program materials and resources that help applicants and grantees navigate the grant process.
  3. Other Duties as Assigned.

Required Qualifications:

  1. Associate’s degree (or equivalent experience) in management, accounting, data analytics, government, communications, or a related field.
  2. 1+ years of experience in program administration, grants management, data tracking, or a related area.
  3. At least one year of experience in supporting program administration, grants management, or a customer service operation.
  4. Experience with data tracking, reporting, and maintaining accurate records.
  5. Proficiency with Microsoft Office Suite and familiarity with data management systems.

Preferred Qualifications:

  1. Two or more years of experience in a similar role and/or the public or nonprofit sector.
  2. Familiarity with customer relationship or grant management systems.
  3. Experience with grants, nonprofits, sustainability, or community programs.

Residency Requirement: In accordance with the New Jersey First Act P.L. 2011 c.70, effective September 1, 2011, new public employees in certain positions (faculty exempt) are required to obtain New Jersey residency within one (1) year of employment.
