Job Summary: The Cadet Aviation Program Assistant plays a crucial role in supporting the administration and development of aviation programs, such as Cadet Wings and National Flight Academies. This position involves a variety of responsibilities ranging from application support and course development to interdepartmental coordination and vendor relations. The specialist will also manage contracts, facilitate reporting, and provide exceptional customer service.

Duties/Responsibilities/Essential Functions:

Application Support:

Assist in soliciting applications for aviation programs, such as Cadet Wings and National Flight Academies.

Provide customer service and manage applications

Coordinate with IT for updates to applications andprocedures.

Course Development:

Develop familiarization learning and communication content for application preparation, enrollment, and other areas.

Entering mission requests and assign funding in CAP’s mission management application

Approve requests from operations directorate for cadet access to mission applications.

Resource Management:

Stay updated on ground school resources and best practices.

Communicate changes and make curriculum recommendations.

Vendor and Stakeholder Relations:

Maintain relationships with outside vendors, FBOs, and National Flight Academies.

Work with the Sr. Program Manager in creating and dispatching mass emails distribution with program updates and survey solicitation.

Monitoring and Problem-Solving:

Lead bi-weekly evening monitoring calls with The Youth Aviation Initiative Panel.

Escalate and coordinate with the Sr. Program Manager any impediments to program efficiency or effectiveness.

Content and Communication:

Use a Content Management System to update websites.

Copy-edit publications and publicize program successes through social media.

Respond professionally to customer inquiries via email and phone.

Administrative Support

Provide general administrative support to the Cadet Aviation Team.

Customer Service

Conduct informational webinars for Cadet Aviation programs. Assist in agenda and execution with diverse audiences.

Respond to general inquiries from CAP volunteers, parents, and vendors promptly and professionally.

Contracts Management

Outreach and contract creation with Cadet Aviation programs under the direction of the Sr. Program Manager.

Oversee and coordinate outreach initiatives while managing the creation, negotiation, and administration of flight school contracts, ensuring alignment with organizational goals and regulatory requirements.

Monitor contracts with vendors for lodging, meals, fuel, etc., as needed for the National Flight Academies. Adjusts when necessary.

Reporting Management

Solicit, monitor, and organizations data on cadet flying progress and other various Cadet Aviation program elements

Coordinates with Sr. Program Manager, Cadet Aviation and Data Analysis department in routine meetings and presentations.

Support donor reporting and data collection to represent real-time statistics.

Job Qualifications:

Education and Experience:

College degree with 1 year of administration experience OR high school diploma/GED with 3 years of administrative experience.

Virtual Work:

Remote work experience required.

Financial and Administrative Skills:

Excellent attention to financial details and accuracy.

Competent business writing skills for emails, blog posts, and social media.

Technical Proficiency:

Competency in MS Outlook, MS Word, MS Excel, Adobe Acrobat Pro, PowerBI, and Canva.

Familiarity with MS Teams, MS Planner, One Drive, Dropbox, Constant Contact, and content management systems.

Proficiency in payment processing software desired.

Aviation Experience:

General Aviation (GA) related experience or education required.

Familiarity with Private Pilot Training (Part 61, Part 141) and CAP Private Pilot Training (CAP Standard 71-1) desired.

Additional Skills:

Previous experience in bookkeeping, contracting, or similar roles is a plus.

Experience working with volunteers desired.

Enthusiasm for aviation and positive youth development is a plus.

Certificates, Licenses, and Registrations: A Federal Aviation Administration pilot certification in the airplane category is preferred.
