JOB DESCRIPTION

Position Title: Grand Canyon Office Manager

Department: Field Operations

Reports to: Grand Canyon Operations Manager

Direct Reports: Varies

Location (if applicable): Flagstaff, Arizona

Job Status: Full-Time, Exempt

Salary: $60,000 – $72,000 annually ($1,155 – $1,385 weekly) depending on experience

Position Summary

The Grand Canyon Office Manager is responsible for executing and maintaining food service, commissary, and core administrative functions that support Grand Canyon river trip operations. Operating under the oversight of the Grand Canyon Operations Manager, this role ensures that systems, paperwork, scheduling tools, and food operations function smoothly and reliably.

This position requires strong organization, attention to detail, and the ability to work independently once trained, while keeping the Operations Manager appropriately informed of key developments.

  • Timely submission of all credit card receipts and invoices. Review, code, and authorize invoices for payment, ensuring accuracy and alignment with operational budgets.
  • Execute bi-weekly payroll processing and track trip-specific payroll assignments to ensure accurate compensation for guides and support staff.
  • Reporting: Deliver regular operational updates and scanning of trip paperwork to support main office functions and maintain overall efficiency.
  • Personnel Management & Mosaic HCM Oversight:
    • Maintain comprehensive and up-to-date personnel records, employee files, and training logs.
    • Manage employee data and profiles within the Mosaic HCM system, ensuring legal compliance and accuracy for both active and returning seasonal staff.
    • Assist the Operations Manager with the recruitment, onboarding, and training of guides and support staff.
    • Provide coaching, education, and community building exercises and programs for staff.
    • Assist the Operations Manager in all aspects of pre-season and in-season scheduling, including river crew, drivers, and warehouse staff.
  • Departmental Oversight: Soft Goods Fabrication, Commissary & Food Service
    • Directly supervise the Soft GoodsFabrication Department to ensure equipment is in good working condition and repairs are made in a timely fashion.
    • Coordinate with the Soft Goods Fabrication Department on purchases and inventory, as well as facilitating fabrication requests from other OARS operations.
    • Directly supervise the Commissary Supervisor to ensure the successful planning, packing, and presentation of nutritious meals for guests and crew.
    • Oversee food service operations to maintain the highest food-safety standards and ensure dietary requirements and preferences are accommodated.
    • Coordinate with the Commissary Supervisor regarding trip-specific food orders and delivery schedules.
  • Scheduling, Communication & Support:
    • Support river trip rosters, breakdowns, and daily operational logistics in coordination with the Operations Manager.
    • Provide bi-weekly office and operations updates as requested.
    • Serve as a key administrative point of contact when the Operations Manager is unavailable.
    • Assist in running rig preparation, as well as rigs and derigs.
  • Serve as the primary 24/7 Emergency Contact for field emergencies when assigned by the Operations Manager. This includes managing the Manager On Duty phone.
  • Assist in the reporting of injuries and the management of Workers’ Compensation claims in coordination with the HR Director.
  • Maintain a thorough knowledge of NPS and other government agency requirements and company risk management protocols.
  • Other projects and duties as necessary or assigned.

  • Driver’s License and clean driving record; Current Arizona Food Manager Certificate; Current WFR considered a plus
Working Conditions
  • Work Hours and Shifts:
    • Ability to work long days and split shifts.
    • Long hours sitting or standing while using office equipment and computers, which may cause muscle strain.
  • Physical Demands:
    • Must be able to regularly lift heavy items (at least 50 lbs), including boating equipment, warehouse supplies, and food packing.
  • Environmental Conditions:
    • Exposure to extreme weather conditions, ranging from winter-like conditions with snow and freezing temperatures to very hot summer temperatures.
    • Wildfires and controlled burns are common and can drastically diminish air quality.
  • Dynamic working conditions due to river conditions, changes to schedules, evacuations, and last-minute bookings.
  • Busy office/warehouse setting with frequent distractions and staff interactions throughout the day.
  • Scheduled and unscheduled meetings with employees, co-workers, and managers are customary.
  • Additional Considerations:
    • Stressful working conditions due to potential extreme weather and river conditions.
    • Possibility of hybrid-remote work, after a probationary period, during non-operating months.
  • Salary: $60,000 – $72,000 annually ($1,155 – $1,385 weekly) depending on experience
  • Merit increases considered annually based on individual and company performance
  • This position is subject to a one year probationary period
  • Company-funded Bronze medical plan with Health Savings Account, (with the option to buy up to the Silver medical plan), dental and vision insurance after a 60-day waiting period
  • Reimbursement for approved wellness and professional development expenses, up to $520 per calendar year
