Job summary

The University of Miami is seeking a full-time Graduate Program Manager in Coral Gables, FL to provide administrative and operational coordination across graduate programs from initial contact through alumni engagement.

The role supports two programs (Mental Health Counseling Master’s and Counseling Psychology Ph.D.) and will expand to additional programs, ensuring accreditation compliance and data-driven program success while partnering with faculty and university offices.

Qualifications

  • Bachelor’s degree in counseling, psychology, higher education, or related field.
  • Three years of experience in higher education program administration, student services, or academic advising.
  • Experience managing data and producing reports, and comfort with student information or CRM systems.
  • Strong written and verbal communication and the ability to advise students professionally.
  • Strong organizational skills and the ability to manage multiple programs, deadlines, and stakeholders.
  • Working knowledge of FERPA and a commitment to confidential, ethical handling of student records.

Responsibilities

  • Recruitment and admissions: Support faculty recruitment efforts, manage admissions workflow for both programs.
  • Student engagement: Coordinate orientation, cohort events, professional development, mentoring, and wellness programming.
  • Practicum coordination: Maintain site partnerships, track supervised hours, verify credentials.
  • Licensure guidance: Advise on NBCC, CPCE, and psychologist licensure pathways and disclosures.
  • Alumni relations: Maintain alumni network, organize events, collect outcomes data.
  • Accreditation data: Collect and analyze lifecycle data for MPCAC and APA reporting.
  • Regulatory awareness: Monitor MPCAC/APA standards and licensure laws, update materials.
  • Communications and events: Manage program communications and liaison with students and offices.
  • Cross-program coordination: Provide recruitment, engagement, practicum, and data support for other programs.
