Job summary

The University of Miami's School of Education and Human Development is seeking a full-time Graduate Program Manager in Coral Gables, FL. The role provides administrative and operational coordination across graduate programs from first contact with applicants through alumni engagement, supporting two programs: Mental Health Counseling Master's and Counseling Psychology Ph.D.

The manager partners with faculty, program offices, and external accreditors to ensure compliance with MPCAC and APA

Qualifications

• Bachelor's degree in counseling, psychology, higher education, or related field.
• Three years of experience in higher education program administration, student services, or academic advising.
• Experience managing data and producing reports; comfortable with student information or CRM systems.
• Strong written and verbal communication; ability to advise students professionally.
• Strong organizational skills; ability to manage multiple programs, deadlines, stakeholders.
• Working knowledge of FERPA and confidential handling of student records.

Responsibilities

• Coordinate recruitment and admissions workflows for two graduate programs.
• Coordinate orientation, cohort events, professional development, mentoring, and wellness programming.
• Support practicum coordination, maintain site partnerships and affiliation agreements, tracking supervised hours.
• Advise on licensure pathways and publish required licensure disclosures.
• Maintain the alumni network, organize alumni events and mentoring, and collect outcome data.
• Collect and analyze lifecycle data, and prepare statistics and outcome data for MPCAC and APA.
• Monitor MPCAC and APA standards; update materials and disclosures accordingly.
• Manage program communications and liaise among students, faculty, partners, and university offices.
• Provide cross-program support as enrollments grow.
