Job summary

WhiteCap Search is partnering with a global investment firm to hire a senior payroll professional who will oversee end-to-end payroll operations across the U.S. and international locations. You will manage inputs, outputs, tax compliance, and coordination with Finance to ensure accurate payroll funding, entries, and reporting.

The role requires 7-10 years of high-volume payroll experience, deep knowledge of U.S. multi-state taxation, and strong proficiency with ADP and Workday.

Qualifications

  • Bachelor's degree required.
  • 7-10 years of experience in high-volume U.S. and global payroll processing.
  • Experience with multi-state U.S. payroll and US payroll taxation.
  • Experience with international payroll vendors.
  • Proficiency with ADP and Workday.

Responsibilities

  • Liaise with global payroll vendors and local providers on data submission and service delivery.
  • Maintain payroll policies, procedures, and controls for audit readiness.
  • Administer time tracking in Workday and support employees on time-tracking questions.
  • Serve as primary contact for employee payroll and time-tracking inquiries.
  • Assist expansion into new states/countries and payroll project implementations.
  • Identify opportunities to streamline and automate payroll processes.

The HR Operations & Rewards team supports the entire employee lifecycle. This includes responsibilities for onboarding and offboarding, payroll, benefits and wellness, compensation, HR systems and technology, and people analytics. The team ensures that HR processes, programs, and tools are efficient, scalable, and responsive to both employee and business needs.

Your Role

The successful candidate will be responsible for overseeing and executing end-to-end payroll processes across the U.S. and various international locations. This includes:

  • Managing payroll inputs, employee changes, processing, validation, review, approval, and post-payroll activities.
  • Reviewing payroll outputs for accuracy, resolving discrepancies, completing reconciliations, and coordinating payroll funding, accounting entries, and reporting with Finance.
  • Managing U.S. federal, state, and local payroll tax requirements, including multi-state taxation, registrations, filings, notices, and year-end reporting.
  • Overseeing payroll calendars, deadlines, year-end activities, statutory filings, tax reporting, and audit requests across all applicable jurisdictions.
  • Managing relationships with global payroll vendors and local providers, including data submission, issue resolution, and service delivery.
  • Developing and maintaining payroll policies, procedures, process documentation, and controls to ensure accuracy, consistency, and audit readiness.
  • Administering time tracking in Workday, monitoring PTO accuracy, developing reports and audits, and providing employee support for time-tracking questions.
  • Serving as the primary point of contact for employee payroll and time-tracking questions, providing timely and professional support.
  • Supporting expansion into new U.S. states and/or countries, payroll implementations, vendor transitions, and other payroll projects in collaboration with Finance and HR colleagues.
  • Identifying and implementing opportunities to streamline, automate, and strengthen global payroll processes and controls, while supporting broader HR initiatives as needed.
What You'll Bring
  • Bachelor's degree.
  • 7-10 years of experience in high-volume U.S. and global payroll processing.
  • Significant hands-on experience independently processing multi-state U.S. payroll and strong knowledge of U.S. payroll taxation, deductions, and year-end reporting.
  • Experience managing payroll across multiple countries and working with international payroll vendors.
  • Significant experience with ADP and Workday is required; experience with Workday Payroll is a plus.
  • Strong reconciliation, Excel, and data analysis skills, with exceptional accuracy and attention to detail.
  • Ability to work effectively in a fast-paced, high-demand environment while maintaining accuracy, professionalism, and sound judgment.
