Job summary

Pace Gallery is seeking a Gallery Assistant in New York to warmly welcome visitors, manage inquiries, and support daily operations. The role requires a degree and 1+ year of related experience, with strong administrative skills and a passion for art.

You will assist with exhibitions, events, CRM data entry, and document preparation, contributing to a high-quality guest experience at Pace’s New York locations.

Qualifications

  • Poise and professionalism under pressure; effective communication with diverse people.
  • Friendly, positive demeanor and enjoyment of public interaction.
  • Thorough knowledge of Pace’s artists and passion for contemporary and modern art.
  • Proficiency in Microsoft Outlook and database programs.

Responsibilities

  • Welcome guests to the gallery with warmth and create an engaging, inclusive experience.
  • Answer phones, direct inquiries, manage email correspondence, connect clients with staff.
  • Maintain understanding of current exhibitions and prepare checklists and related documents.
  • Demonstrate excellent communication and act as a resource about the gallery and artists.
  • Uphold discretion with confidential information and work under changing priorities.
  • Support gallery events and public programming; coordinate mailings and shipments.
  • Create and maintain sales documents; provide administrative support to teams.
  • Maintain CRM data entry and keep office supplies stocked.

Pace is a leading international art gallery representing some of the most influential artists and estates of the 20th and 21st centuries, founded by Arne Glimcher in 1960. Holding decades-long relationships with Alexander Calder, Jean Dubuffet, Agnes Martin, Louise Nevelson, and Mark Rothko, Pace has a unique history that can be traced to its early support of artists central to the Abstract Expressionist and Light and Space movements. Now in its seventh decade, under the leadership of CEO Marc Glimcher and President Samanthe Rubell, the gallery continues to nurture its longstanding relationships with its legacy artists and estates while also making an investment in the careers of contemporary artists, including Torkwase Dyson, Loie Hollowell, Robert Nava, Adam Pendleton, and Marina Perez Simão. Pace advances its mission to support its artists and share their visionary work with audiences and collectors around the world through its exhibitions of both 20th century and contemporary art and scholarly projects from its imprint Pace Publishing. Today, the gallery has eight public locations globally, including New York, Los Angeles, London, Berlin, Seoul, and Tokyo, as well as private offices in Beijing, Hong Kong, and Geneva.

Our Gallery Assistants are the face, voice and warmth of Pace Gallery. Pairing deep artistic knowledge with exceptional interpersonal skills, our GA team provides first-class experiences for everyone at Pace. We require our GAs to be experts on the art and artists that we exhibit and rely on their intuition and high EQ to seamlessly engage guests, clients and friends of the gallery.

What You’ll Be Doing:
  • Promptly and warmly welcoming guests to the gallery, create an engaging experience that is inclusive to all visitors
  • Answer phones, direct inquiries, manage email correspondence, connect clients with staff
  • Maintain thorough understanding of our current exhibitions, prepare checklists and other related documents
  • Exhibit exceptional communication skills and act as a resource for questions about the gallery and our artists
  • Demonstrate a high level of sensitivity and discretion regarding confidential information
  • Think quickly under pressure and demonstrate flexibility and patience while navigating rapidly changing business priorities
  • Work effectively both independently and within a team
  • Possess a sincere interest in people and exercise high Emotional Intelligence (EQ) when interacting with guests, clients, etc.
  • Demonstrate motivation and interest in understanding business needs, build strong relationships as needed to assist staff members and achieve shared goals
  • Support gallery events and public programming
  • Create and maintain sales documents, provide administrative support to teams across the gallery
  • Pack and coordinate gallery mailings and shipments
  • Maintain CRM data entry
  • Order and maintain office and pantry supplies

What You’ll Bring:
  • Bachelor's degree with 1+ years related work experience
  • Strong administrative skills including but not limited to answering and directing phone calls, managing internal and external email correspondence, responding to public inquiries, and working directly with staff and clients
  • High degree of poise and professionalism, work well under pressure, and effectively communicate with people from all walks of life
  • Friendly and positive demeanor and genuinely enjoy interacting with the public and staff
  • Thorough knowledge of Pace’s artists and demonstrate a passion for contemporary and modern art
  • Thorough knowledge of Microsoft/Outlook and database programs
  • Compensation: $22.00 per hour (equivalent to approximately $45,750 annually based on a full-time 40-hour schedule)
