  • Provide administrative support to departments and handle calls professionally.
  • Coordinate building maintenance and vendor relationships to ensure timely service.
  • Assist with seasonal projects and decor, including purchasing where needed.
  • Handle document scanning, filing, and mail distribution with accuracy.
  • Support cross-department tasks and adapt to changing priorities.

Position Summary

Pattillo, Brown & Hill, L.L.P. is seeking a dependable and detail-oriented Administrative Coordinator to join our team. This position plays a vital role in the daily operations of our office, combining administrative support with oversight of building maintenance and vendor coordination. The ideal candidate is highly organized, resourceful, and enjoys working in a collaborative environment while taking pride in delivering exceptional service to both clients and colleagues.

Key Responsibilities
Administrative Support
  • Represent PB&H with professionalism and a positive attitude while providing quality support to all departments
  • Process tax returns, financial statements, quarterly payroll reports, data entry and other client documents
  • Provide backup and relief support to other administrative team members as needed
  • Answer incoming calls and direct callers to the appropriate contact with courtesy and professionalism
  • Maintain clear and professional communication in person, over the phone, and via email
  • Complete various administrative projects accurately and on time
  • Manage document scanning, copying, filing, mail distribution, administrative errands, and other duties as assigned
Facilities and Vendor Coordination
  • Serve as the primary contact for building-related needs, overseeing vendor relationships and ensuring timely maintenance, repairs, and contracted services
  • Manage service providers for janitorial, kitchen, landscaping, HVAC, and other facility-related needs, ensuring smooth day-to-day operations
  • Oversee building upkeep, including scheduled maintenance and repairs for office features, appliances, and equipment, coordinating with appropriate vendors as needed
  • Monitor waste management, shipping services, and other essential vendor contracts to ensure consistent service quality across the office
Special Projects & Seasonal Coordination
  • Collaborate with leadership on preparation and distribution of client holiday cards
  • Coordinate holiday décor and work with vendors on installation and takedown
  • Assist with office improvement projects including purchasing and assembling furniture or temporary workspace setups
Qualifications
  • Professional appearance, dependable, positive attitude, and willingness to learn
  • Strong organizational skills and ability to follow detailed instructions
  • Proficient in Microsoft Outlook, Word, and Excel with a willingness to learn PB&H-specific software; technology savvy is a must
  • Comfortable managing multiple tasks and priorities in a fast-paced environment
  • Ability to stay organized, focused, and accurate during high-volume periods tied to tax deadlines
  • Flexibility to work occasional overtime during peak seasons
  • Prior experience in office administration or facilities coordination is preferred

The firm was founded in 1923 by Waco’s first CPA, Frank L. Wilcox. Mr. Wilcox was married to the daughter of former Governor of Texas and Baylor University President, Pat Neff. As he grew in his career, Mr. Wilcox went on to be elected the Mayor of Waco, President of TSCPA and Vice President of the AICPA. As the firm gained traction, he added Pat Pattillo (also a former Mayor of Waco and Past President of the TSCPA!), Rodney Brown and Walter Hill as partners. Together, they created a basis for our firm today, branding their legacy within the Waco community. After Mr. Wilcox’s death, the firm’s name officially became Pattillo, Brown & Hill, L.L.P. In 1997, our Hillsboro office was acquired, with our firm in Albuquerque joining shortly after in 1998, followed by our Temple office in 2001. Our expansion into these communities is just the beginning of what is on our horizon!
