Title: Human Resources Assistant

Principle duties and responsibilities
  1. Carries out the employee recruitment process by maintaining job postings internally and externally, tracking job applicants, scheduling interviews, and notifying applicants of the status of their application.
  2. Schedules new employee orientation and paperwork to welcome new hires to the organization and ensure they are prepared to begin working at the facility.
  3. Helps with the benefits administration process for new and current employees to ensure accurate coverage and understanding of the benefit plans.
  4. Assists with employee orientation, annual gifts, and department weeks.
  5. Scans and files paperwork to ensure all files are current.
  6. Coordinates files needed for various surveys and assists with required signage and postings per regulations.
  7. Schedules and disseminates meeting room calendars to ensure meeting room availability for various committees and meetings. Manages HR calendars in collaboration with the HR team.
  8. Assists with the payroll process, including ensuring paychecks are accurate and provided on time.
  9. Fields and answers employee questions regarding benefits or other relevant items in a timely and friendly manner.
  10. Attends meetings as necessary. Records and disseminates meetings minutes for miscellaneous committees as requested.
  11. Assists the HR team with various projects as needed.
  12. Serves on various committees as assigned.
  13. Assists with updates to the HR section of the employee intranet as a reference for employees in collaboration with the HR team.
  14. Assists with updates for the website content on the hospital's website and careers page in collaboration with the HR and Marketing teams.
  15. Ensure patients and visitors follow current infection control guidelines.
  16. Responsible for ensuring the environment meets appropriate governing body standards.
  17. Duties that could include blood exposure and risk to bloodborne pathogens (eg: lacerations, handling of blood-contaminated items, etc.)
  18. Maintains patient and staff safety through the use of patient safety tools (Teamstepps, Just Culture, etc.).
  19. Regular attendance at the assigned work location is required.
  20. Performs all other duties as assigned.
Minimum knowledge, skills, and abilities
  1. Requires basic ability to use computer and office equipment including, but not limited to Microsoft Office Suite as is typically acquired through the completion of a high school diploma or GED.
  2. Requires basic knowledge of Federal, State, and local laws and regulations surrounding Human Resources.
  3. Professional and welcoming communication skills used in relations with employees, job applicants and outside agencies.
  4. Ability to frequently adjust to changes in daily routine.
  5. Professional and welcoming communication skills used in relations with all individuals including patients, visitors, employees, job applicants and outside agencies, etc.
  6. Analytical skills necessary to troubleshoot problems in payroll, benefits, etc.
  7. Ability to maintain strict confidentiality with regard to protected and sensitive information.
  8. Ability to complete reports and correspondence at a professional level.
  9. Ability to immediately respond to common inquiries and complaints from patients, employees and regulatory agencies in collaboration with HR.
  10. Ability to effectively communicate with individuals from diverse backgrounds.
  11. Successful completion of required knowledge and training of standard precaution protocols and when to apply during principle duties and responsibilities.
Working conditions
  1. Works in a normal office work environment with little exposure to excessive noise, dust, temperature, etc.
  2. Spends majority of the day seated, completing desk work, computer work, or spending time in meetings, up to 90% of the shift. May transport reams of paper from Materials Management, carrying 10 pounds of paper 400 feet. Boxes weighing up to 38 pounds are used for paperwork and are needed to be stacked and transported as needed. 10 pound files are placed onto shelves of varying heights, from 1 inch off of the floor to 66 inches high depending on if placing in cabinets or shelves. During specific events, such as the Legacy Fundraiser or annual employee events, totes are used to transport equipment and information. The totes are stored in the facility's garages, carrying up to 40 pounds distances of 100 feet.
