Full Charge Bookkeeper opening in Rochester NY

Role: Full charge Bookkeeper (accounting and payroll - QuickBooks)

Duration: Full-time ; direct hire

Compensation: $30.00 – $35.00/hr

Start Date: May (position open due to planned retirement)

Reports to: Director of Finance

Key Responsibilities

  • Assist with monthly client billings and AR collections
  • Maintain time & billing database
  • Generate monthly and ad hoc reports
  • Answer client inquiries and assist with year-end procedures
  • Record transactions, perform monthly reconciliations
  • Create and record invoices and payments
  • Maintain and oversee QuickBooks files

Accounts Receivable

  • Record daily deposits and receipts
  • Review bank accounts for incoming/outgoing transactions
  • Reconcile VPM records and cash entries

Expense Reports & Payroll

  • Enter and reconcile partner and staff expenses
  • Maintain payroll tracking spreadsheets
  • Process semi-monthly payroll for 4 entities using Paylocity

Accounts Payable

  • Enter payables and prepare schedules in QuickBooks
  • Manage vendor records, W-9s, and approval workflows
  • Monitor office supply orders and assist with cost-saving analysis

Administrative Support

  • E-file firm and staff tax returns
  • Assist with mailings, phones, and office support
  • Notary duties (preferred)
  • Support time/billing changes and corrections

Requirements

Education & Experience

  • HS diploma required; Notary Public a plus
  • 3+ years of full-charge bookkeeping experience in a financial environment
  • Understanding of WIP

Skills & Software

  • Advanced QuickBooks knowledge (Desktop & Online)
  • Intermediate Excel and basic Word skills
  • Familiarity with Paylocity and Practice Management Workstation in CCH is a plus
  • Strong written and verbal communication skills
  • Excellent attention to detail and confidentiality
  • Positive, team-first attitude with a willingness to learn and adapt
  • Friendly and collaborative culture
