Job summary

Formlabs is seeking a Fulfillment Coordinator in Somerville, MA to ensure smooth order flow between Shopify, NetSuite, and our 3PL warehouse system. You will manage order exceptions, coordinate with FedEx/UPS/DHL, and drive on-time shipping while maintaining accuracy in inventory records.

You’ll work with Customer Success to communicate updates on high-priority orders and participate in weekly cycle counts to reconcile stock levels.

Qualifications

• Bachelor’s degree or equivalent operational experience.
• 1–3 years in fulfillment, warehouse, or logistics coordination.
• Understanding of order-to-cash cycles and basic warehouse operations.
• Strong organizational and multitasking skills.
• Excellent communication with internal teams and external 3PL partners.
• Proactive, high-quality execution focused on customer satisfaction.

Responsibilities

• Lead daily monitoring of regional order flows, ensuring Shopify, NetSuite, and 3PL systems sync.
• Oversee resolution of order exceptions to prevent delays.
• Coordinate daily carrier pickups with warehouse staff and partners (FedEx, UPS, DHL).
• Perform inventory reconciliation through weekly cycle counts and resolve discrepancies.
• Collaborate with Customer Success for real-time updates on high-priority orders.
• Audit outbound packaging and documentation for regional compliance.
• Analyze fulfillment reports to identify aging orders and escalate bottlenecks.
• Support regional returns and reverse logistics per policy.
• Act as primary contact for resolving sync errors within 24 hours.

If you’re a proactive "figure-it-out" person who loves working in a fast-paced environment and wants to make a tangible impact on customer satisfaction, we want you on our team.**What You’ll Do:*** Lead the daily monitoring of regional order flows, ensuring that all customer orders sync correctly between Shopify, NetSuite, and our 3PL warehouse management systems.* Oversee the resolution of order exceptions, such as address validation errors, inventory stockouts, or SKU mismatches, to prevent shipping delays and customer friction.* Direct the coordination of daily carrier pickups, working closely with warehouse staff and partners like FedEx, UPS, and DHL to ensure all "shippable" orders leave the dock on time.* Implement inventory reconciliation tasks by assisting in weekly cycle counts and investigating discrepancies between physical warehouse stock and digital records.* Collaborate with Customer Success teams to provide real-time updates on high-priority orders, transit delays, or regional delivery disruptions.* Drive shipping accuracy by auditing outbound packaging and documentation for regional compliance, ensuring all domestic and international labels meet carrier requirements.* Analyze daily fulfillment reports to identify "aging" orders that have exceeded our processing SLAs, escalating bottlenecks to the Senior Coordinator or Regional Head.* Support the execution of regional returns and "Reverse Logistics," ensuring that returned products are processed, inspected, and restocked or disposed of according to company policy.* Act as the primary point of contact for resolving sync errors, ensuring that 'stuck' orders are identified and cleared within 24 hours.**About You:*** Bachelor’s degree in Supply Chain, Business Administration, or a related field; equivalent operational experience will also be considered.* 1–3 years of experience in a fulfillment, warehouse, or logistics coordination role, ideally within a high-growth e-commerce environment.* Solid understanding of order-to-cash cycles and basic warehouse operations (receiving, put-away, picking, and shipping).* Exceptional organizational skills and the ability to multitask in a fast-paced environment where priorities can shift hourly.* Strong communication skills, with the ability to provide clear, concise updates to both internal teams and external 3PL partners.* A proactive, "figure-it-out" attitude with a commitment to high-quality execution and customer satisfaction.**Bonus Skills:*** Basic proficiency in Excel for data entry and simple report generation.* Experience using Shopify, NetSuite, or common Warehouse Management Systems (WMS).* Familiarity with regional carrier networks and basic domestic shipping regulations.*We are an equal opportunity employer and value diversity at our company.
