Job Description
Job Purpose: Under the guidance of the Front Office Manager, ensure Guest Services operates efficiently; act as the main contact for internal and external guests; improve communication across departments; and lead the Guest Services Department through training, motivation, and management.

Duties and Functions:

  • Determine work procedures, prepare schedules, and oversee workflow.
  • Address errors and respond to concerns.
  • Maintain records of room availability and rates.
  • Make, confirm, and cancel reservations via phone, fax, or reservation systems.
  • Complete daily tasks such as travel agent commissions, VIP room blocks, and room balancing.
  • Manage no-show guests and enforce hotel credit policies.
  • Utilize yield management to maximize revenue and occupancy.
  • Answer guest inquiries knowledgeably and courteously.
  • Understand hotel layout, room types, and reservation functions.
  • Secure guest information during reservations and communicate policies clearly.
  • Follow up on guest requests to ensure satisfaction.
  • Process deposits and conduct shift audits.
  • Handle correspondence and maintain files.
  • Participate in departmental meetings and foster positive inter-departmental relationships.
  • Assist with inputting third-party reservations and perform office duties.

Additional Responsibilities:

  • Communicate effectively and professionally with team members.
  • Remain calm during emergencies or busy periods, serving as a role model.
  • Make decisions based on experience and good judgment.

Operational Policies and Support:

  • Ensure compliance with health, safety, hygiene, maintenance, and emergency policies.
  • Participate in community and corporate social responsibility activities.
  • Use software such as Microsoft Office, Micros, ADP, Open Table, and others.
  • Maintain a clean and organized work area and ensure confidentiality.

Other Duties: Adapt to the company culture, attend meetings, and perform various tasks as needed, including working flexible hours based on business needs.

Safety and Grooming: Use PPE when required; maintain a neat appearance; adhere to uniform policies.

Qualifications:

  • High School Diploma or equivalent; Bachelor’s degree preferred.
  • At least 2 years in reservations, 1 year at the front desk, and 1 year in sales or retail, preferably in upscale hotels.
  • Proficiency with Opera, GoConcierge, HotSOS, Microsoft Office, and similar systems.
  • Excellent communication, multitasking, and interpersonal skills.
  • Ability to stand for long periods and respond quickly in various situations.

Additional Information: Confidentiality, compliance with policies, and flexible work hours are required. Bilingual abilities are a plus.
