Position Summary
As the face of NSCHC, demonstrates exceptional customer service skills. Optimizes patients' satisfaction, provider time and exam room utilization through effective scheduling and registration.
Duties & Responsibilities
- Greets all incoming patients/visitors.
- Manages patient check‑in process for pediatric, adult, and dental patients.
- Verifies patient medical insurance prior to appointment.
- Updates patient demographics and insurance information in eCW.
- Scans medical insurance cards, ID, sliding‑fee‑scale applications, income affidavits if applicable.
- Determines sliding‑scale fee amount for uninsured patients.
- Enters all data into patient profile.
- Manages no‑show patients by reaching out and rescheduling missed appointments.
- Maintains patient engagement through encouraging completion of Patient Satisfaction Survey and enrollment on patient portal.
- Collects co‑pays/payments, performs daily accurate cash reconciliation.
- Answers telephones, documenting all pertinent information in patient charts.
- Schedules appointments for pediatric and adult patients, specifying exact reason for visit within appointment notes.
- Manages phone voicemail mailboxes daily.
- Scans new information into eCW, including correspondence, labs, results, and medical history.
- Manages incoming faxes as needed.
- Faxes referrals and correspondence to hospitals and physicians as needed.
- Assists with outgoing mail and incoming mail distribution.
- Assists the patient during the check‑out process; schedules next appointment, etc.
- Analyzes what patients scheduled for the next day will need during registration, prepares paperwork packets accordingly, and brings related scheduling concerns to the attention of Practice Coordinator and/or Clinical Director.
- End‑of‑day tasks: printing next day’s schedule, locking front doors during weekday evenings and Saturday shifts, turning phones over to answering service, depositing all copay/reports in safe.
- Reviews and addresses messages in EMR addressed to self and Front Office.
- May participate in departmental and organizational quality improvement projects.
- Other duties as assigned.
- Works evening and weekend hours when needed, usually on a rotational basis with front office receptionists.
- Attends a minimum of one outreach event per calendar year.
- Commitment to NSCHC faith‑based mission to provide care to all who request it, without judgment.

- Must be accurate and detail‑oriented, possess strong organizational and time‑management skills, and the ability to prioritize competing tasks in a complex and fast‑paced environment.
- Ability to work under pressure.
- Excellent oral and written communication skills; understanding of medical terminology.
- Excellent people and customer‑service skills.
- Prolonged sitting, standing, and moving about throughout the workday; extensive keyboarding.
- Local travel between clinic sites (10 minutes apart by car).
Qualifications (Required for Employment)
- 1 year prior experience in a medical clerical role.
- Must have basic computer skills, including EMR (electronic medical record).
- Act 33 with renewal.
- Act 34 with renewal.
- Act 73 FBI Clearance with renewal.
- Annual influenza vaccine.
