Job description

High Point University is currently seeking a full-time Front Office Receptionist. The Front Office Receptionist plays an essential role in supporting the front-end operations of the clinic. This position serves as the first point of contact for patients, providing outstanding customer service while managing patient data within the electronic health record (EHR) system, scheduling and maintaining appointments, verifying insurance, and payment collection. The Front Office Receptionist contributes to the efficiency of the clinic operations and may be cross trained in additional administrative or clinical support to enhance overall patient flow and support the educational mission of the institution.

QUALIFICATIONS
  • Education: High school diploma, required.
  • Experience and Training: Previous customer service, receptionist, administrative, or healthcare office experience preferred but not required.
  • Basic computer proficiency, including Microsoft Office applications.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Knowledge, Skills, Ability: Strong interpersonal and communication skills, both written and verbal.
  • Self-motivated with a proactive approach to problem-solving and a commitment to accuracy and detail.
  • Knowledge in basic computer skills and Microsoft Office.
  • Excellent organizational and time management skills, with the ability to prioritize multiple tasks effectively.
  • Ability to work collaboratively with various groups of faculty, staff, students, and external partners/vendors.
  • Basic knowledge in HIPAA and OSHA regulations.
  • Ability to learn new software systems and office procedures.
  • Ability to remain calm and professional in a fast-paced environment.
  • Dependability, punctuality, and flexibility.
ESSENTIAL FUNCTIONS
  • Greet and assist patients, visitors, faculty, staff, and students in a professional and courteous manner.
  • Answer and direct incoming phone calls, emails, and general inquiries.
  • Schedule, confirm, reschedule, and cancel patient appointments using the clinics scheduling system.
  • Assist in new patient registration, verify demographic information, and maintain accurate patient records.
  • Collect payments, process transactions, and provide receipts in accordance with clinic procedures.
  • Coordinate patient flow to support efficient clinic operations and minimize wait times.
  • Communicate with optometry faculty, students, and staff regarding patient appointments, clinic schedules, and daily clinical activities.
  • Collaborate with faculty, students, and staff to support the educational and patient care missions of the institution.
  • Assist patients with completing forms and obtaining necessary documentation prior to appointments.
  • Maintain confidentiality of patient information and comply with HIPAA and institutional policies.
  • Perform data entry, scanning, filing, and other administrative duties with a high degree of accuracy.
  • Maintain a clean, organized, and welcoming reception and waiting area.
  • Participate in training and staff meetings to maintain knowledge of clinic procedures and customer service standards.
  • Perform other duties as assigned to support clinic operations and patient care.
ACCOUNTABILITY
  • Position reports to the Clinic Manager.
