Key Responsibilities
Front Desk and Resident Service
- Greet and assist homeowners, residents, real estate professionals, vendors, contractors, and visitors in a courteous and professional manner.
- Answer incoming calls, monitor voicemail, route calls to the appropriate team member, and provide accurate general information.
- Identify the appropriate department or manager for each inquiry and relay homeowner concerns promptly.
- Coordinate vendor access with community gate or security personnel when needed.
- Receive, date-stamp, and route incoming mail, deliveries, invoices, and packages.
Work Orders and Records
- Receive work order requests, enter them accurately in Enumerate Central (TOPS), and research prior service history when needed.
- Assign or route work orders as directed by the property manager and communicate updates to homeowners.
- Track open items and close work orders after completion by maintenance personnel or vendors.
- Prepare recurring work order reports and maintain organized resident and association records.
Back-up for Architectural Requests
- Guide homeowners through architectural request forms and explain submission requirements.
- Collect and verify supporting documents, including contractor licenses, insurance information, samples, and permit numbers when applicable.
- Communicate with contractors, insurance carriers, property managers, and outside management companies to obtain missing information and required signatures.
- Log and track requests, prepare approval or denial correspondence, and notify homeowners or contractors of decisions.
Administrative Support
- Support the onboarding and processing of new homeowners.
- Assist with sales and lease packages, estoppel-ordering questions, spreadsheets, email correspondence, and document preparation.
Qualifications
- Prior administrative or front-desk experience supporting condominium or homeowners association communities.
- Working knowledge of Enumerate Central (TOPS) property management software and Microsoft Outlook.
- Excellent phone etiquette, customer service, and written communication skills.
- Strong organization, attention to detail, follow-through, and time-management skills.
- Ability to handle frequent interruptions, prioritize multiple requests, and remain professional in challenging interactions.
- Comfort using Microsoft Office tools, email, spreadsheets, and virtual meeting platforms.
- Ability to work on site during the scheduled hours.
