Job summary

Texas Colon & Rectal Specialists in Dallas, TX is seeking a Front Office Coordinator to support patient registration, insurance verification, scheduling and front desk operations. You will work closely with our Texas Oncology team to ensure accurate data entry, patient communication and efficient clinic flow.

The ideal candidate has strong multitasking abilities, knowledge of medical terminology and excellent interpersonal skills to assist patients and staff in a busy oncology/hematology setting.

Qualifications

  • High school diploma or equivalent required.
  • Knowledge of patient registration and insurance verification procedures.
  • Knowledge of medical terminology.
  • Ability to type patient information with correct grammar and punctuation.
  • Proficient computer, copier, fax, scanner and multi-line phone skills.
  • Ability to multitask and cover other front office duties as needed.
  • Clear, compassionate communication with patients and staff.
  • Ability to read and follow instructions and work with others.

Responsibilities

  • Coordinate front office work and patient flow for efficient care.
  • Answer and direct telephone calls; assist callers with questions.
  • Maintain physician/clinic schedules and accurate patient data in the system.
  • Enter insurance and demographic information into the patient accounting system.
  • Ensure medical records are scanned into EMR for established patients.
  • Review balances and determine patient financial responsibility for procedures.
  • Handle check-out tasks, schedule follow-ups, and provide education materials.
  • Balance receipts and reconcile daily work.
  • Create office-based claims and manage referrals.
  • Maintain workflow dashboard and track no-shows and missed slips.

What does a Front Office Coordinator do?

Responsible for general clinic office functions that support efficient and effective patient care including patient registration, insurance verification, collection of applicable co-insurance and/or co-payments and scheduling of diagnostic and follow-up appointments and procedures. Supports and adheres to the US Oncology Compliance Program, to include the Code of Ethics and Business Standards.

Qualifications

The ideal candidate for theFront Office Coordinator rolewill have the following background and experience:

  • High school diploma or equivalent
  • Knowledge of patient registration and insurance verification procedures.
  • Knowledge of medical terminology.
  • Knowledge of grammar, spelling, and punctuation to type patient information.
  • Skill in operating a computer, copy machine, fax machine, scanner and multi-line telephone.
  • Skill in multi-tasking and preparedness to cover other front office and clinic functions as necessary.
  • Ability to speak clearly, concisely and compassionately.
  • Ability to read, understand and follow oral and written instruction.
  • Ability to establish and maintain effective working relationships with patients, employees, and the public

Responsibilities

The essential duties and responsibilities (including but not limited to):

  • Coordinates all front office work and patient flow activities.
  • Answer telephone calls, re-direct calls as appropriate, and assist callers with questions or concerns.
  • Maintain accurate, real-time, physician/clinic schedules ensuring that patients are scheduled properly.
  • Enter patient insurance and demographic information, including any new/updated information into the patient accounting system.
  • Ensure historical medical record is scanned into EMR, for established patients.
  • Review patient balances, and insurance coverage levels to determine patient financial responsibility, including co-insurance rates for in-office procedures.
  • Perform all check-out tasks including scheduling patients for follow-up appointments, and printing educational material and patient visit summaries as requested.
  • Balance receipts daily and reconciles daily work.
  • Create office-based claims
  • Confirm referrals are current and in the chart
  • Assist in retrieving in office procedure precertification’s
  • Maintain the Workflow dashboard which includes missing slips & no shows
