Axess Family Services, Inc. is seeking a Front Office Assistant to support daily operations at the Liberty Office. You will greet clients and visitors, answer phones, and direct calls to the appropriate staff, while maintaining a courteous, professional demeanor in a fast-paced environment.

This full-time, on-site role requires accurate intake processing, collecting co-pays, and ensuring forms are completed at the first appointment, while upholding agency policies and compliance standards.

Qualifications

  • Ability to meet agency requirements for criminal background check.
  • Preferred: High School Diploma or GED.
  • Preferred: Prior clerical experience.

Responsibilities

  • Answer phone promptly in a professional and courteous manner and accurately obtain necessary information to route calls appropriately.
  • Ensure that all required intake, financial and clinical forms are obtained at client’s first appointment.
  • Check clients in upon arrival for appointments; accurately record any client missed/cancelled appointments.
  • At each client visit: Have client fill out client information form; Collect co-pay/insurance deductible from client.
  • Interact courteously with clients and visitors at all times and respond to concerns and requests efficiently.
  • Ensure that clinical information is released to outside agencies with proper authorization and uploaded to the client’s record.
  • Maintain knowledge of AFS policies and procedures and comply with COA/federal/state requirements.
  • Other duties as assigned.

SUMMARY:

To support Axess Family Services with daily operations. Greet and/or assist clients and visitors of the agency. Answer phones and direct calls appropriately.

SUPERVISOR:

Clinical Supervisor or Designee

DUTIES AND RESPONSIBILITIES:
  • Answer phone promptly in a professional and courteous manner and accurately obtain necessary information to route calls appropriately.
  • Ensure that all required intake, financial and clinical forms are obtained at client’s first appointment.
  • Check clients in upon arrival for appointments; accurately record any client missed/cancelled appointments.
  • At each client visit:
    • Have client fill out client information form
    • Collect co-pay/insurance deductible from client
  • Interact courteously with clients and visitors at all times and make every reasonable effort to respond to their concerns and requests as efficiently as possible.
  • Ensure that clinical information is released to outside agencies and individuals only upon receipt of an authorization from the client or legal guardian which meets the standards of AFS. Upload the Release of Information to the client’s electronic record.
  • Maintain current knowledge of all applicable AFS policies/procedures and function according to these standards.
  • Comply with COA regulations, federal and state requirements, and educational/certification/registry requirements.
  • Other duties as assigned.

The noise level in the work environment is low to moderate. Stress level can be high at times.
