Feminist Center for Reproductive Liberation in the United States seeks an organized patient services assistant to support clinic operations, educate clients about abortion and gynecological appointments, and maintain confidentiality while coordinating with staff.

Responsibilities

  • Educates clients on abortion/gynecological appointments in a compassionate, HIPAA-compliant manner.

  • Collect copays, maintain payment records, and assist financial counselors.

Job description

  • Has knowledge of and adheres to clinic protocols and procedures.
  • Maintains professionalism and confidentiality when dealing with clients and staff.
  • Educates the client on all information necessary to understand their abortion or gynecological appointment/procedure.
  • Understands and can explain the information contained in the authorization and consent forms required by all clients receiving services and secure client signatures.
  • Alert clinical staff of medical issues via direct and indirect communication.
  • Discusses and provides information to clients as designated by the provider in a supportive, compassionate, and non-judgmental manner while also being HIPAA compliant.
  • Assists providers with reviewing charts for completion and documentation.
  • Communicates and works to resolve client concerns or needs to their supervisor.
  • Keeps abreast of current information on women’s health care by reading literature provided by Supervisor.
  • Keeps informed of clinic policy by reading emails, and memos, attending scheduled meetings, and attending training.
  • Bring to the attention of the Supervisor any concerns and suggestions.
  • Understands and can discuss clinic protocols and procedures with staff and patients as needed.
  • Maintains etiquette and confidentiality when dealing with clients and staff.
  • Open to being trained and proficient in all non-licensed clinical roles in the laboratory, Operating Room, Pathology, post-op area, and any other areas as directed by the Supervisor.
  • Notifies appropriate medical staff of complications or emergency situations.
  • Understands and can carry out all emergency procedures and protocols as outlined by Feminist Center for Reproductive Liberation.
  • Assist with timely and accurate input of chart information into the Government database for ITOP reporting.
  • Assist with scanning clinical documentation into the Electronic Health Record System (EHR) Document Manager.
  • Answering Phone Calls and directing them to appropriate staff and assisting patients with scheduling appointments or addressing other concerns.
  • Check and keep records of clinic voicemails and prioritize the order of urgency in which to follow up on all messages that were left.
  • Collect copays, maintain a record of payments collected, and prepare money for pick-up.
  • Assist clients with financial assistance and prepare documentation for financial counselors.
  • Entering services rendered and charges into the EHR Ledger.
  • Organize and prioritize incoming documents from fax machines and relay them to appropriate staff.
  • Opening and Closing of the facility on designated days.
  • Follow Security protocol for individuals entering the facility; Check-In clients as they arrive at the clinic, assist them with paperwork as needed, and enter necessary information into the EHR Practice Manager for their appointment.
  • Check out patients in the EHR Practice Manager as they leave the clinic and make sure all necessary information has been entered accurately.

Preferred Skills
  • 1-2 years of experience working in a physician's office setting or call center.
  • Experience in a gynecology, obstetrics, and/or ambulatory surgical center.
  • Previous experience in women’s health or reproductive justice.
  • Experience with performing sonography or ultrasound.
  • Knowledge of electronic medical records.
  • Knowledge of Microsoft Excel, Outlook, Word, and PowerPoint.
  • Must be able to conduct business in English; however, fluency in languages other than English is a plus.
Accessibility Information and Physical Requirements
  • This role constantly participates in online virtual communication including email, video conferencing, and other online tools used to facilitate virtual office culture and work sharing. Must be able to communicate and exchange information using these platforms.
  • This role constantly uses standard office equipment such as computers, phones, and scanners.
  • Must constantly engage with others virtually and in person.
  • Must occasionally traverse a concrete sloped parking lot to access the FCRL office.
  • Must occasionally ascend and descend stairs to access the first floor of the FCRL office.
  • The noise level in the work environment is typically moderate.
