Job summary

SVM is seeking a Front Office Administrator to be the first point of contact for guests, customers, and vendors, shaping initial impressions with a warm, professional demeanor.

You will handle calls, messages, mail, and office coordination, while maintaining a secure and inviting front desk environment. Strong communication and independence are essential, and a background check is required.

Qualifications

  • Prior experience in a reception, front desk, customer service or equivalent role highly preferred.
  • High school diploma or GED required.
  • Demonstrates discretion when handling sensitive phone calls.
  • Proficiency with MS Office and PDF applications (Bluebeam preferred).
  • Excellent verbal and written communication; ability to work independently and meet deadlines; background check required.

Responsibilities

  • Greet and welcome visitors in person or by phone in a professional and friendly manner.
  • Manage incoming phone calls and record details for appropriate departments.
  • Relay messages promptly to the right personnel.
  • Monitor entry to the premises and ensure security protocols are followed.
  • Assist with sorting mail, deliveries, and office supplies.
  • Maintain a tidy, safe reception area.
  • Coordinate shipments via OnTrac, FedEx and UPS.
  • Support with scanning, filing, printing, and other admin duties.

Job description

As a Front Office Administrator, you will be the initial point of contact for SVM’s guests, customers, and vendors, shaping their initial impressions of our organization. The Front Office Administrator will be responsible for fostering a warm and inviting front-desk atmosphere, delivering exceptional customer service, and providing administrative support.

What You Will Do
  • Greet and welcome visitors in person or by phone in a professional and friendly manner, answering or referring inquiries.
  • Manage incoming phone calls, filtering incoming information with discretion and recording details to inform appropriate person or department.
  • Relay messages to appropriate personnel promptly and accurately with a professional demeanor.
  • Monitor and regulate entry to the premises, providing guidance to visitors for correct locations and ensuring adherence to security protocols.
  • Assists with various administrative tasks, including sorting and distributing mail, handling deliveries, and managing office supplies.
  • Maintains a tidy and safe reception area.
  • Coordinate shipments through OnTrac, FedEx and UPS.
  • Assist with stocking, distributing, and maintaining inventory of office and breakroom supplies.
  • Assist with other administrative duties including but not limited to scanning, filing, printing, sorting, etc.
Education, Skills & Experience
  • Prior experience in a reception, front desk, customer service or equivalent role highly preferred.
  • High school diploma or general education degree (GED; or equivalent combination of education and experience) required.
  • Demonstrates a high level of discretion and professionalism, particularly when handling sensitive phone calls that may arise in the course of duties a must.
  • Proven proficiency in various office equipment and programs including MS Office Suite (Word, Excel, etc.), Bluebeam or similar pdf applications highly preferred.
  • Ability to effectively communicate both verbally and written a must.
  • Demonstrates the ability to work independently and meet deadlines required.
  • Is willing to submit to a comprehensive background check required.
Compensation & Company Benefits Include

This is a full-time, hourly, non-exempt position. Compensation ranges from $21.00 to $28.00 per hour, depending on experience and qualifications. This position includes a paid 30-minute meal period.
