Qualifications

  • 2+ years experience in Billing or Accounting.
  • Experience with public agency or prevailing wage contracts preferred.
  • 1+ years billing as a Mechanical Contractor preferred.
  • High School Diploma or GED required.
  • Proficient MS Office including Excel and Teams.

Responsibilities

  • Generate accurate invoices for HVAC, plumbing, and service work in the assigned area.
  • Distribute invoices via email, mail or electronic platforms.
  • Verify billing information aligns with contracts and policies.
  • Address discrepancies promptly to prevent delays and dissatisfaction.
  • Maintain billing tracker and ensure timely invoicing to customers.
  • Collaborate with service, operations, and sales teams daily.
  • Review work orders and ensure documentation matches invoicing.

Job description

As a Billing Specialist, you will have the opportunity to ensure accurate and timely billing processes for HVAC service work performed at SVM’s customers within an assigned geographical area. The Billing Specialist will work closely with service operations and customer service teams to maintain efficient billing operations and uphold SVM’s commitment to customer satisfaction.

What You Will Do

  • Generate accurate and detailed invoices for HVAC and Plumbing service calls, time & maintenance, quoted work, and planned maintenance.
  • Distribute invoices to clients via email, mail or electronic billing platforms.
  • Verify customer billing information is complete, accurate and compliance with SVM’s policies and client agreements.
  • Address any discrepancies or errors in billing promptly to prevent payment delays and customer dissatisfaction.
  • Maintains internal billing tracker to ensure invoices are created and sent out to the correct customer in a timely manner.
  • Partner with various service team members daily to ensure data received is accurate.
  • Final auditor of Work Orders for service jobs within assigned area ensuring work performed, materials used, and equipment serviced is accurately documented prior to invoicing.
  • Review and Process Service invoices, ensuring all necessary information is included and accurate.
  • Partner with Project Managers on AIA progress billing.
  • Work closely with Sales Managers to ensure billing aligns with contract requirements.
  • Maintain Service Department’s AP and AR.
  • Generate regular reports on billing activity, outstanding invoices and perform collections within assigned area.
  • Maintain customer files within assigned areas, ensuring billing information is updated and accurate.
  • Support service team with reports needed or other important information.
  • Address customer billing inquiries and recommend solutions as needed.
  • Support the Service Biling team with other tasks and projects as business requires.

Education, Skills & Experience

  • 2+ years of experience in a Billing, Accounting, Service Billing, or similar role required.
  • Experience supporting billing for public agency or prevailing wage service contracts preferred.
  • 1+ years’ experience billing as a Mechanical Contractor preferred.
  • High School Diploma or GED required.
  • Highly proficient with various office equipment and programs including MS Office Suite (Word, Excel, Teams, One Note, etc.) required.
  • Demonstrated experience working with a flexible schedule preferred.
  • Proven work experience utilizing Billing and Dispatch systems; Viewpoint a plus.
  • Proven ability to work with different individuals and personalities while maintaining a professional atmosphere required.
  • Strong knowledge of HR common practices and strategies highly preferred.
  • Is willing to submit to a comprehensive background check required.

Compensation & Company Benefits Include

This is a full-time exempt position. The compensation for this role is $75,000 - $110,000 annually and is based on experience and skillset.
