Job description

Kittle Property Group is seeking a Front Desk & Travel Assistant to join our Corporate team at our headquarters in Indianapolis.

Pay: $21/Hour
Schedule: Monday through Friday, 8am - 5pm

Position Summary

Responsible for coordinating the reception area, managing office operations, and providing administrative support to departments as needed.

Essential Duties and Responsibilities
  1. Assist with daily building operations.
  2. Oversee travel arrangements, including bookings, receipts reconciliation, managing Concur software, reporting, and troubleshooting.
  3. Maintain phone lists, seating charts, and other relevant lists.
  4. Prepare work areas for new hires with supplies, name plates, and lists.
  5. Create a positive first impression by greeting visitors professionally and hospitably.
  6. Answer incoming calls professionally, provide company information, and transfer calls appropriately.
  7. Monitor and order office supplies, notify recipients of arrivals, and manage inventory.
  8. Provide administrative support such as typing, filing, mailing, copying, faxing, and ordering lunches.
  9. Manage conference room schedules and reservations.
  10. Ensure adequate postage funds, water, and vending supplies.
  11. Handle incoming mail and deliveries.
  12. Maintain cleanliness of conference and break rooms.
  13. Arrange for repairs of office equipment and notify building management of maintenance issues.
  14. Maintain and distribute contact lists and mailboxes.
  15. Assist with coordinating events.
  16. Keep the office organized and liaise with cleaning services as needed.
  17. Perform other duties as assigned.
Qualifications, Skills & Knowledge
  • High school diploma or GED.
  • 1-2 years of relevant experience.
  • Ability to read, write, speak, and interpret instructions and correspondence.
  • Strong attention to detail and organizational skills.
  • Observant with a sense of urgency.
  • Excellent verbal and written communication skills.
  • Basic math skills.
  • Ability to understand and follow instructions and solve problems in standardized situations.
  • Proficiency in MS Office and Teams.

  • Occasionally stands and walks; regularly sits and uses hands and arms.
  • May lift up to 25 pounds rarely.
  • Requires good vision for close and distance tasks.
