Job summary

Aesthetx is seeking a Front Desk & Marketing Assistant in Los Gatos to split time between patient experience and content creation. Three days per week are dedicated to front desk duties, including greeting patients, schedule management, and payments.

Two days focus on photography, editing, and social media to build the brand online. The role requires strong front desk experience, content creation skills, and proficiency with photo/video editing tools.

Schedule: 3 days Front Desk|2 days Marketing & Content

Pay Range: $24 - $26 per hour DOE

THE ROLE

The Front Desk & Marketing Assistant is a dual-function role that sits at the intersection of patient experience and brand. Three days a week, you are the face of Aesthetx — greeting patients, managing the schedule, and keeping the front of house running with precision and warmth. Two days a week, you turn the lens on the practice itself: capturing content, editing photos, and building the social media presence that sets Aesthetx apart in a crowded market.

This is not two half-jobs stitched together. It is one role designed for someone who is genuinely excellent at both — someone who can hold a full patient schedule on Tuesday and show up on Wednesday with a creative eye and a plan for the week's content. You understand that the way a patient is greeted and the way the practice presents itself online are both expressions of the same standard.

The ideal candidate is organized, personable, and visually fluent. You are comfortable behind the camera and behind the front desk. You have an eye for what works on social media in the aesthetic space, and you know how to edit a before/after photo that is both compelling and compliant. You are energized by variety and you hold yourself to a high bar in both functions.

WHAT YOU'LL OWN

Front Desk & Patient Experience — 3 Days/Week

• Greet every patient with warmth and professionalism — set the tone for the entire visit from the moment they walk through the door
• Manage patient check-in and check-out accurately and efficiently, including consent documentation and intake paperwork
• Own the daily schedule — confirm appointments, manage cancellations, fill open slots from the waitlist, and flag conflicts before they become problems
• Answer inbound calls and return messages promptly — every patient deserves a same-business-day response
• Collect and process patient payments at time of service; reconcile end-of-day transactions without errors
• Maintain accurate and complete patient records in Nextech
• Route clinical questions immediately to the appropriate provider or medical staff
• Ensure the waiting area and front desk are immaculate and on-brand at all times

Content Creation & Photography — 2 Days/Week

• Shoot photo and video content: patient transformations (with proper consent), staff spotlights, behind-the-scenes practice moments, treatment demonstrations, and lifestyle content that reflects the Aesthetx brand
• Direct patients and staff during content sessions with professionalism and efficiency — make people feel comfortable on camera and capture what you came for
• Edit and retouch before/after photos to Aesthetx standards: natural, accurate, and compliant with medical advertising guidelines
• Capture short-form video content for Instagram Reels, TikTok, and Stories — filming, editing, captioning, and sound selection
• Build and maintain a content library of approved, organized photo and video assets — tagged by treatment, provider, and date for easy retrieval
• Coordinate with providers and clinical staff to capture authentic content without disrupting clinical flow

Social Media & Digital Content

• Own the Aesthetx social media calendar for assigned channels — plan, schedule, and post content consistently across Instagram, Facebook, and TikTok
• Write captions that reflect the Aesthetx brand voice — knowledgeable, warm, and aspirational
• Monitor comments, DMs, and tags — respond to routine engagement promptly and escalate clinical questions or sensitive interactions to the Practice Manager
• Stay current on trends, sounds, and formats in the aesthetic medicine and medical spa space
• Track basic performance metrics and share a monthly summary with the Practice Manager
• Ensure all patient-identifiable content is never posted without documented written consent

Before/After Photo Management

• Photograph before/after pairs according to Aesthetx photo protocol — consistent lighting, angle, framing, and background for every treatment category
• Edit and process before/after photos for social media, the website, and consultation materials — accurate color, no misleading enhancements
• Maintain the before/after library with accurate patient labeling, treatment tagging, and consent documentation
• Ensure all before/after content complies with California Medical Board advertising guidelines and FTC disclosure requirements

WHAT WE'RE LOOKING FOR

Required

• 2+ years of front desk, receptionist, or patient-facing customer service experience
• Demonstrated experience creating and editing content for social media — Instagram, TikTok, or Facebook in a professional or brand context
• Strong photography and basic photo editing skills — comfortable with iPhone/camera capture, Lightroom, Facetune (medical-appropriate use), Canva, or equivalent tools
• Experience editing short-form video for Reels or TikTok — CapCut, InShot, or similar
• Genuine understanding of what performs in the aesthetic medicine, beauty, or wellness space on social — you follow these accounts and think critically about why content works
• Ability to move fluidly between patient-facing and creative work without losing quality in either
• Professional, warm, and composed in a patient-facing environment
• Reliable, organized, and deadline-driven — the content calendar does not slip because the front desk was busy

Preferred

• Experience in a medical spa, plastic surgery, dermatology, or aesthetics environment
• Familiarity with Nextech or another medical practice management system
• Knowledge of California Medical Board advertising guidelines and FTC disclosure requirements for medical content
• Experience managing a brand's social media accounts independently
• Graphic design skills or experience with Adobe Creative Suite a plus
• Bilingual (English/Spanish) a plus
