Job summary

Yellowstone Club is seeking a Front Desk Coordinator for the upcoming Winter season in Big Sky, MT. This seasonal full-time role focuses on delivering warm, professional guest service for rental guests and Members arriving at the Lodge and Village Core.

Responsibilities include check-in, guest assistance, coordination with Residential Experience Coordinators, and ensuring a welcoming, safe environment while maintaining high service standards throughout the shift.

Qualifications

High school diploma, GED or vocational training or job-related course work.
6 months to 1 year of customer service or related experience.
Strong communication and correspondence skills with the ability to maintain sound working relationships and communications with Members, management, and staff.
1–2 years of hospitality experience preferred.

Responsibilities

Greet Members and guests at the Village Core Reception Area.
Provide welcome beverages and snacks for each rental arrival.
Complete efficient check-in, confirm reservation details, provide keys when necessary, and share directions and information.
Serve as the main point of contact for Member and guest services in the Village Core, coordinating with other departments as needed to resolve requests promptly.
Act as a coordinator for the Residential Experience Coordinators, dispatching teams and assigning tasks based on team arrangements; update information related to in-house and upcoming reservations.
Perform duties in a timely and efficient manner according to Club policies and standards.
Maintain a positive, respectful attitude and professional demeanor with Members, guests, vendors, and colleagues.
Maintain privacy and a neat appearance; communicate regularly with all staff and leadership.
Work flexible hours including evenings, weekends, and holidays; may include a night audit shift.
Adhere to safety and security procedures and escalate issues to management when needed.

Yellowstone Club’s Residential Services is currently seeking candidates for a Front Desk Coorinator for the upcoming Winter season! Our Winter employment months are November – April.

The purpose of the Front Desk Coordinator is to provide a warm, professional, and hospitable welcome and check-in experience for rental guests and Members upon their arrival to Yellowstone Club. The Front Desk Coordinator will also serve as a source of information for all Members and guests in the Lodge & Village Core and provide guest service support to Members and guests in YCPM managed homes throughout the Club.

Major Responsibilities:

Ensure that each Member and guest receives outstanding guest service in a guest friendly environment which includes greeting and acknowledging every Member and guest, maintaining outstanding service standards, solid product knowledge and all other components of guest service.
Empowered to guarantee total guest satisfaction, display hospitality and professionalism to our guests at all times, take pride in representing Yellowstone Club professionally with our Members and guests and assure that all transactions with guests are handled in a legal and ethical manner.
Understand and apply all property safety and security procedures to maintain a secure and safe environment for employees, Members, and guests at all times. In the event of an accident or emergency, seek medical attention if necessary and contact your direct manager, the Director of Cabins & Rentals, or Human Resources immediately.
Maintain a favorable working relationship with all company employees to foster and promote a positive working environment.

Essential Job Functions:

Experience/Education Required

Certificates & Licenses

Valid US Driver’s License
All drivers must be at least 19 years old with 3 years of driving experience.

Proficient in basic technology including computers, smartphones, and email.
Intermediate level of experience in Microsoft Office systems.
Experience with SmartSheet and reservation software systems is preferred.

Language Ability

Able to speak clearly and effectively with Members, guests, co-workers, vendors and other Yellowstone Club departments. Able to write clearly and legibly.

Math Ability

Able to perform basic math calculations.

Reasoning Ability

Ability to solve basic problems and/or know when it is necessary to get a manager to assist in problem solving.
