Job Description

The Front Desk Coordinator at the LMU Dental Clinic manages patient interactions and administrative tasks. Responsibilities include verifying patient financials and Medicaid status, processing check-ins and check-outs, and collecting fees from self-pay patients. The coordinator also assists with CareCredit financing, maintains accurate financial records, and updates patient accounts with a focus on posting and accuracy in EHR software.

This role requires effective communication with dental staff and students, strong teamwork, and excellent customer service skills. Proficiency in Electronic Health Record management is essential. Top priorities include ensuring compliance with privacy regulations and maintaining accurate patient records.

Required Qualifications

  • High school diploma or equivalent.
  • 2 years experience in a medical or dental office setting.
  • This position is sedentary, requiring extended periods of sitting with occasional walking and standing.
  • Tasks may involve lifting no more than 25 pounds and occasionally carrying items like files or office supplies.
  • Able to multitask and prioritize tasks in a fast-paced environment.

Job Duties

  1. Greet patients as they arrive and provide a welcoming environment.
  2. Assist patients in filling out forms and obtaining necessary signatures.
  3. Answer phones and schedule patients for dental screenings or treatment, addressing patient questions and concerns both in person and over the phone.
  4. Confirm patient financials before treatment is rendered; uphold clinic policy and procedures regarding payment at the time of service.
  5. Verify active Medicaid status on the day of the patient’s appointment.
  6. Send and receive emails and faxes as needed to facilitate patient care and team communication.
  7. Ensure all necessary patient documentation is completed and accurate, scan signed documents into patient electronic health record (EHR) software profile.
  8. Process patient check-ins and check-outs efficiently and accurately using EHR software.
  9. Assist patients with CareCredit financing. Reconcile end-of-day collection reports with credit card receipts and petty cash.
  10. Print student documents and patient forms as needed.
  11. Keep the reception area clean and organized; order office supplies as needed.
  12. Communicate with dental staff and students about patient arrivals and specific needs.
  13. Assist with monitoring student attendance.
  14. Collaborate with co-workers on patient scheduling, security processes, and patient management needs in the dental school setting.
  15. Display a keen ability to multi-task, being a self-starter who consistently takes the initiative.
  16. Ensure front office compliance with all CDC infection control, OSHA, HIPAA, and state/federal debt collection regulations.
  17. Actively participate in emergency protocols for codes and drills (medical, security, fire, weather, safety, etc.). Maintain BLS CPR healthcare certification.
