Front Desk Associate, Hand Therapy Technician
This position is responsible for assisting the hand therapists and office staff to provide timely, friendly, and accurate patient care.
Responsibilities and Accountabilities
- Clinic Support: variable based on location and coverage needs
- Communicates with therapists to ensure timely start and setup of patient treatments.
- Cleans and sanitizes all equipment and tables after each patient, completing weekly cleaning tasks.
- Maintains stock and organizes supply inventory, including splint material and handouts, and communicates supply needs.
- Tends to laundry duties and calibrates BTE regularly.
Customer Service/Front Desk Support
- Creates a friendly atmosphere for patients.
- Checks patients into the EMR system and tracks visits.
- Answers and transfers phone calls.
- Reviews patient charts for accuracy before appointments.
- Scans documents into patient charts.
- Completes daily cash reports and faxes documentation as needed.
- Communicates with staff regarding schedules and authorizations.
Scheduling
- Schedules therapy appointments in coordination with physicians and mid-level providers.
- Makes scheduling adjustments as directed.
- Fills in required EMR fields accurately.
Business Office/Billing
- Explains benefits and assists with obtaining authorizations.
- Collects co-payments and payments for self-pay items.
- Ensures proper referral documentation and updates EMR notes.
- Initiates BWC approvals and extensions for BWC patients.
Teamwork
- Provides coverage and assistance proactively.
- Works cooperatively, shares knowledge, and addresses conflicts directly.
- Respects others' work environment and breaks.

- Knows and complies with company policies and procedures.
- Supports leadership in policy implementation.
- Participates actively in training and compliance activities.
Qualifications
- High school diploma or equivalent, basic computer skills, customer service experience required.
- Previous experience in a medical office and EMR systems preferred; occupational therapy experience is a plus.
