Job summary

D-BAT Windsor Mill is seeking a friendly Front Desk Associate to join our team. The person will greet customers, handle check-ins for cage rentals, lessons, memberships, and events, and promote programs with a welcoming attitude.

The role requires strong customer service, multitasking, and basic computer skills. You will assist with scheduling, sales, pro shop transactions, and ensure a clean, organized front desk and lobby, while upholding safety and facility policies.

D-BAT Windsor Mill is seeking a friendly, energetic, dependable, and customer-focusedFront Desk Associateto join our team. The Front Desk Associate is often the first and last point of contact for our athletes, parents, coaches, instructors, and guests, making this position an important part of creating a positive experience at our facility.

The ideal candidate is comfortable working in a fast-paced, sports-oriented environment and enjoys interacting with people of all ages. This position requires someone who can confidently handle customer service, facility operations, sales, phone calls, scheduling, administrative tasks, and general upkeep while maintaining a professional and welcoming atmosphere.

The Front Desk Associate should be proactive, attentive to detail, and willing to jump in wherever needed to help the facility operate efficiently.

Essential Duties & ResponsibilitiesCustomer Service & Front Desk Operations
  • Greet every customer warmly and professionally as they enter the facility.
  • Check in customers for cage rentals, lessons, clinics, camps, memberships, and other activities.
  • Provide exceptional customer service to athletes, parents, coaches, instructors, and guests.
  • Answer customer questions and provide accurate information about D-BAT Windsor Mill programs, services, policies, pricing, and facility offerings.
  • Take accurate messages and return customer calls when appropriate.
  • Maintain a clean, organized, and professional front desk area throughout the shift.
  • Monitor the lobby and front desk area and proactively assist customers who may need help.
  • Handle customer concerns or complaints professionally and involve a manager when necessary.
  • Maintain a positive, energetic, and welcoming attitude throughout the shift.
  • Promote and sell D-BAT Windsor Mill memberships, lesson packages, camps, clinics, cage rentals, and other services.
  • Educate customers on membership benefits and help them determine which membership or package best fits their needs.
  • Promote daily, weekly, and monthly specials and other facility promotions.
  • Communicate upcoming camps, clinics, lessons, events, and special programs to customers.
  • Identify opportunities to recommend additional services that may benefit customers.
  • Assist with customer follow-up and promotional efforts as directed by management.
  • Meet or exceed established sales and customer-service expectations.
Facility Tours
  • Provide guided tours of the facility to new and prospective customers.
  • Learn and confidently deliver the approved D-BAT Windsor Mill facility tour presentation.
  • Explain the facility's batting cages, memberships, lessons, camps, clinics, pro shop, and other available services.
  • Present the facility in a professional and enthusiastic manner that encourages prospective customers to return and utilize D-BAT Windsor Mill.
Cage & Facility Operations
  • Assist customers with cage rentals, automated batting cages, and other facility services.
  • Ensure rental areas and common areas remain clean, organized, and safe.
  • Immediately report spills, damaged equipment, safety hazards, or facility maintenance concerns to management.
  • Follow all D-BAT Windsor Mill facility policies and procedures.
  • Provide knowledgeable and friendly customer service in the D-BAT Windsor Mill Pro Shop.
  • Assist customers with baseball and softball equipment, apparel, accessories, and other merchandise.
  • Learn basic product knowledge, including bats, gloves, balls, protective equipment, grips, and other baseball and softball products.
  • Ask appropriate questions to help customers find products that fit their needs.
  • Process retail transactions accurately.
  • Keep merchandise organized, faced, stocked, and presentable.
  • Restock products as needed and notify management when inventory is running low.
  • Become familiar with current promotions, new products, and featured equipment.
Administrative & Computer Responsibilities
  • Perform basic data entry accurately and efficiently.
  • Use point-of-sale systems and other facility software as required.
  • Utilize Microsoft Office and other productivity software when necessary.
  • Assist with scheduling, customer records, registrations, and other administrative tasks.
  • Accurately process payments, transactions, memberships, and other customer purchases.
  • Follow all cash-handling and payment procedures established by management.
  • Protect customer information and maintain appropriate confidentiality.
  • Complete required paperwork, logs, checklists, and other administrative duties.
  • Check trash bins periodically throughout the shift.
  • Empty trash before bins become full or unsightly.
  • Take trash bags to the dumpster immediately when possible.
  • Keep the lobby, front desk, customer areas, and other assigned areas clean and presentable.
  • Address spills and other cleanliness issues promptly or notify management when additional assistance is needed.
Restroom Responsibilities
  • Check all restrooms upon arrival and approximately once every hour while the facility is open.
  • Ensure restrooms remain clean, stocked, and in working order throughout the shift.
  • Restock toilet paper, paper towels, soap, and other necessary supplies.
  • Complete a final restroom inspection before the end of the shift.
  • Document or communicate any ongoing restroom or facility issues as directed by management.
Safety & Professional Expectations
  • Maintain awareness of activity throughout the facility and immediately report unsafe conditions.
  • Follow all D-BAT Windsor Mill safety procedures and policies.
  • Never ignore a safety concern, customer conflict, damaged equipment, spill, or other potentially hazardous situation.
  • Treat all athletes, parents, coworkers, instructors, and guests with respect and professionalism.
  • Maintain appropriate professional boundaries with children and youth athletes.
  • Do not leave the front desk unattended without following proper coverage procedures.
  • Protect the security of the facility, equipment, cash, merchandise, and customer information.
  • Maintain a professional appearance appropriate for a family-oriented baseball and softball facility.
  • Arrive on time, prepared for the shift, and ready to work.
  • Communicate effectively with management and coworkers regarding customer needs, facility issues, and operational concerns.
Qualifications & Skills
  • Previous customer service, retail, front desk, hospitality, or administrative experience preferred.
  • Previous experience in a sports facility, baseball/softball organization, or athletic environment is a plus.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Comfortable interacting with children, teenagers, parents, coaches, and adult athletes.
  • Basic knowledge or strong interest in baseball and/or softball preferred.
  • Ability to learn and confidently discuss D-BAT Windsor Mill programs, memberships, products, and services.
  • Comfortable using computers, point-of-sale systems, email, and basic office software.
  • Strong organizational and time-management skills.
  • Ability to multitask and prioritize responsibilities in a busy environment.
  • Strong attention to detail and accuracy.
  • Ability to work independently while also functioning effectively as part of a team.

Physical Requirements
The Front Desk Associate position requires the ability to:
  • Stand and walk for extended periods throughout a shift.
  • Frequently bend, reach, stoop, and lift light to moderate items.
  • Move and carry boxes of merchandise, supplies, and trash when necessary.
  • Maintain cleanliness throughout the facility.
  • Work in an active sports environment where noise levels and customer traffic may vary.
  • Perform routine cleaning and restroom maintenance duties.
