Job summary

Allied Technologies and Consulting (ATC) is seeking a Front Office Assistant I to support NHRC Command Suite and DFA in San Diego, CA. The role is on-site at a Government facility and involves managing daily administrative requests, correspondence, filings, and meeting logistics.

Ideal candidates have at least 1 year of admin experience, strong MS Office and PDF skills, and the ability to handle multiple priorities in a security-conscious government setting. U.S.

Qualifications

  • Minimum of 1 year of administrative experience.
  • Experience in a front office, executive support, command support, healthcare, research, military, or Government setting is preferred.
  • Proficiency with Microsoft Office Suite, Adobe PDF tools, email/calendar systems, and electronic file management.
  • Ability to manage multiple priorities, maintain attention to detail, protect sensitive information, and communicate professionally with senior staff.
  • Strong customer service, organization, follow-up, and interpersonal skills.
  • Must be a U.S. Citizen and able to obtain and maintain required Government facility, CAC, and IT/network access.
  • Must be able to favorably complete the required background investigation/security process.

Responsibilities

  • Provide front office administrative support to the Command Suite and DFA, helping leadership manage a high volume of daily administrative requests.
  • Process, log, and track administrative taskers and requests, helping prioritize based on deadlines, leadership needs, and mission requirements.
  • Review, filter, prioritize, route, and respond to incoming and outgoing correspondence, including email, mail, phone inquiries, and office communications.
  • Maintain and organize electronic filing systems so documents are filed accurately and can be retrieved quickly when requested.
  • Scan, copy, file, and process administrative documents, correspondence, briefings, reports, records, forms, and travel documentation.
  • Assist with meeting coordination, including room scheduling, agendas, logistics, attendee notifications, and preparation of meeting materials.
  • Support calendar management for internal and external meetings, appointments, and speaking engagements as assigned.
  • Assist with office supplies, visitor support, front desk support, printing, copying, filing, and general administrative services.
  • Support routing packets for official correspondence and help ensure documents move through review/signature processes accurately.
  • Provide support for ad-hoc administrative projects and other duties as assigned.

Job Description

Allied Technologies and Consulting (ATC) is currently looking for a Front Office Assistant I to support the Naval Health Research Center (NHRC) Command Suite and Directorate for Administration (DFA) in San Diego, California. NHRC optimizes military operational readiness through research supporting warfighters, veterans, and family health. This position supports comprehensive, non-personal administrative services that keep executive operations, correspondence, records, personnel actions, training, travel, and command administration moving accurately and on time. This position is based at NHRC, 140 Sylvester Road, San Diego, CA 92106, and is expected to be on-site at the Government facility. Telework is not guaranteed and may occur only when authorized by the Government and ATC management.

Duties And Responsibilities

Education, Skills And Experience Required

  • Must be able to favorably complete the required background investigation/security process, anticipated to include NACLC/T3 or equivalent when required for non-critical sensitive/IT-II duties.
  • Must complete required initial and annual Government/DoD training, which may include Cyber Awareness, OPSEC, HIPAA, Ethics, Antiterrorism Awareness, Active Shooter, Preventing Sexual Harassment, and safeguarding covered defense information.
  • Must be able to pass background and drug testing.
  • Must be dependable, professional, organized, and comfortable working in a fast-paced military/medical research environment with frequently changing priorities.
THIS IS A FEDERAL CONTRACT

Employment is contingent upon contract award, Government approval/acceptance, successful completion of applicable onboarding requirements, and ATC hiring requirements.
