Job summary

Mark-Taylor is hiring a Front Desk Administrator (Receptionist) for our Scottsdale corporate office. You’ll greet visitors, answer calls, and help maintain a professional, welcoming environment.

The ideal candidate has a high school diploma (associates preferred), 1+ year admin or reception experience, strong communication skills, and proficiency with Microsoft Office. This role offers growth opportunities and comprehensive benefits.

Qualifications

  • High school diploma or equivalent required; associate degree or admin certification preferred.
  • At least one year of receptionist/administrative experience preferred.
  • Excellent verbal and written communication and strong interpersonal skills.
  • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

Responsibilities

  • Greet and assist visitors, clients, residents, vendors, and employees in a professional and friendly manner.
  • Answer, screen, and direct incoming phone calls and take messages as needed.
  • Coordinate visitor check-in procedures and notify employees of guest arrivals.
  • Receive, sort, and distribute mail, packages, and courier deliveries.
  • Maintain accurate company directories, contact lists, and office records.
  • Ensure the reception area, conference rooms, kitchen, and common areas remain clean, organized, and presentable.
  • Monitor inventory levels and order office, kitchen, and breakroom supplies as needed.
  • Provide administrative support, including data entry, filing, document preparation, scanning, and scheduling.
  • Assist Human Resources with onboarding activities, employee communications, and special projects.
  • Respond to routine inquiries from employees, residents, and vendors and direct more complex requests to the appropriate department.
  • Coordinate conference room reservations and assist with meeting preparation and hospitality needs.
  • Maintain the confidentiality, integrity, and accuracy of company records, documents, and sensitive information.
  • Support company events, employee engagement initiatives, and office activities as needed.
  • Collaborate across departments to support smooth day-to-day office operations.
  • Perform additional administrative and operational duties as assigned.

Requirements
  • High school diploma or equivalent required; associate degree or administrative certification preferred.
  • At least one year of receptionist, administrative assistant, customer service, or related experience preferred.
  • Exceptional customer service skills and the ability to create a positive experience for visitors and employees.
  • Excellent verbal and written communication skills.
