REMAX Results is looking for an organized, personable, and proactive Front Desk Administrative Assistant to join our St. Paul - Crocus Hill office. The Front Desk Administrative Assistant serves as the primary point of contact for the office and plays a key role in creating a welcoming, professional, and positive experience for customers, clients, sales associates, and visitors. This position is responsible for managing the day-to-day front office operations, providing exceptional customer service, supporting sales associates and staff, and ensuring office needs are handled efficiently and professionally.

The ideal candidate is friendly, dependable, organized, professional, and comfortable working in a fast-paced environment where priorities can change throughout the day. Regular attendance and punctuality are essential to ensure consistent front desk coverage and service.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Responsibilities include, but are not limited to:

  • Serve as the first point of contact for customers, clients, sales associates, vendors, and visitors, providing warm, professional, and helpful experience.
  • Answer and direct calls using the RingCentral multi-line telephone system; accurately take and relay messages as needed.
  • Greeting and assist visitors and guests promptly and professionally.
  • Respond to associate questions, requests, and general office needs, providing appropriate follow-up and assistance.
  • Retrieve, document, and follow up on messages received through the office appointment line.
  • Communicate effectively and professionally with sales associates, internal staff, clients, vendors, and other external contacts.
Showing & Listing Support
  • Schedule and confirm property showing requests and ensure required information and documentation are accurately entered into ShowingTime and other applicable systems.
  • Enter new listings into the MLS and complete required steps throughout the listing lifecycle process.
  • Make changes and updates to existing MLS listings based on written instructions provided by the listing associate.
  • Conduct online research and gather information necessary to accurately complete listing, office, and other business-related records.
  • Maintain accuracy, confidentiality, and attention to detail when handling listing and client information.
Office Administration & Support
  • Sort and distribute incoming mail and other correspondence in a timely manner.
  • Assist with the daily operation and organization of resource rooms, conference rooms, and shared office areas.
  • Monitor office equipment and supplies and communicate maintenance or service needs as appropriate.
  • Assist sales associates and staff with office equipment and services, including copiers, printers, fax machines, binding equipment, UPS/FedEx services, bulk mail, business reply mail, and related office resources.
  • Help maintain a clean, organized, professional, and welcoming front office environment.
  • Provide general administrative support to the office and management team as needed.
  • Maintain a high level of confidentiality and professionalism when handling company, employee, associate, and client information.
  • Perform other duties and special projects as assigned.

WORK ENVIRONMENT & EXPECTATIONS

This is an in-office position where regular attendance and consistent front desk coverage are essential. The Front Desk Administrative Assistant is highly visible to both internal and external customers and is expected to consistently demonstrate professionalism, courtesy, dependability, and a positive attitude.

The position requires frequent interaction with sales associates, customers, clients, vendors, and other visitors, as well as the ability to manage interruptions and competing priorities while maintaining accuracy and a high level of customer service.
