Job description

Role: Fractional Integrator – Operational Accountability & Business Strategy

Part-Time | 12–15 hours per week

Reports To:

Chief Executive Officer (CEO)

Location:

Remote | Availability during agreed-upon Eastern Time business hours

Position Overview

Virtual Peace of Mind (VPM) is seeking a seasoned, business-savvy operations leader to serve as a Fractional Integrator focused on organizational accountability, executive-level operational insight, and consistent follow-through across departments. The ideal candidate brings substantial senior leadership experience and is seeking a meaningful, limited-hours engagement with a growing mental health organization.

This is not an administrative assistant, scheduling coordinator, or traditional project management role. The Fractional Integrator will independently assess whether department leaders are delivering on established priorities, identify performance and process gaps, coordinate corrective follow-through, and provide the CEO with concise, actionable recommendations. The role requires strong business judgment, discretion, and the confidence to address difficult accountability conversations professionally.

The position is designed for approximately 12–15 hours per week, with a consistent weekly meeting and reporting cadence. As organizational needs evolve, the position may offer a pathway toward a Fractional Chief Operating Officer (FCOO) role; such progression is not guaranteed.

Primary Responsibilities (80% – Operational Accountability & Execution)
Departmental Leadership Accountability
  • Conduct structured weekly accountability meetings with each assigned department leader, including program operations, clinical services, administration, human resources, and other functions as designated by the CEO.
  • Review weekly commitments, measurable outcomes, deadlines, staffing performance, and unresolved issues; document owners and next steps.
  • Track whether leaders complete agreed-upon actions and follow up on overdue or incomplete commitments.
  • Evaluate patterns of missed expectations, recurring errors, and ineffective management practices; distinguish individual performance concerns from systemic barriers.
Performance Monitoring & Corrective Follow-Through
  • Review departmental dashboards, operational trackers, quality indicators, and performance reports for accuracy, trends, and exceptions.
  • Recommend targeted improvement plans, reassignment, additional training, or formal performance action when supported by documented findings.
  • Coordinate with the responsible manager and HR on corrective action processes while respecting established policies and approval authority.
  • Escalate significant operational, compliance, client-service, or personnel risks promptly to the CEO and appropriate designated leaders.
Operational Systems & Execution
  • Identify gaps in workflows, ownership, communication, and standard operating procedures that cause repeated failures or inefficiency.
  • Recommend practical solutions and verify that approved improvements are implemented and sustained.
  • Ensure department leaders maintain usable accountability trackers, measurable deliverables, and documented follow-up.
Secondary Responsibilities (20% – CEO Advisory & Business Strategy)
  • Serve as a trusted business thought partner to the CEO on organizational design, operational efficiency, staffing capacity, leadership performance, and growth readiness.
  • Provide a weekly executive briefing summarizing departmental performance, emerging risks, overdue commitments, and specific decisions requiring CEO action.
  • Assess operational implications of new programs, partnerships, and expansion initiatives; recommend realistic execution priorities.
  • Offer independent, evidence-based perspectives and constructively challenge assumptions when appropriate.
Required Qualifications
  • Minimum 10 years of progressive business operations, executive management, or organizational leadership experience, including direct responsibility for accountability, performance management, and cross-functional execution.
  • Prior experience in one or more comparable roles: Chief Operating Officer (COO), Fractional COO, Vice President of Operations, Executive Director, Chief Administrative Officer, Director of Operations, General Manager, Chief of Staff with operational authority, or senior business/operations consultant with documented accountability leadership.
  • Demonstrated success managing or evaluating department heads, setting performance expectations, implementing corrective plans, and improving operational results.
  • Strong financial and business acumen, including the ability to interpret budgets, staffing models, productivity measures, and operational trade-offs.
  • Excellent executive communication, sound judgment, discretion with sensitive employee information, and ability to deliver candid recommendations.
  • Ability to work independently, maintain consistent weekly availability, and deliver clear written accountability reports.
Preferred Qualifications
  • Experience supporting a founder-led, multi-department, growth-stage organization.
  • Background in healthcare, behavioral health, professional services, education services, or another regulated service environment.
  • Experience with fractional executive engagements, operational turnarounds, scaling organizations, and leadership coaching.
  • Familiarity with HR performance-management processes and cross-functional KPI reporting.
Position Structure & Decision Authority
  • Part-time fractional engagement of 12–15 hours weekly, with a predictable cadence of department‑leader meetings, independent review, follow‑up, and CEO reporting.
  • Reports directly to the CEO; collaborates with the Chief Programs Operations Officer, Director of Clinical Services, HR, and other department leaders without duplicating their day‑to‑day management duties.
  • May request status updates, track agreed deadlines, recommend corrective action, and elevate unresolved issues under authority delegated by the CEO.
  • Final hiring, disciplinary, termination, budget, and organizational decisions remain with the CEO or other duly authorized leaders; clinical judgments and regulated supervision remain with qualified clinical personnel.
  • Initial 90‑day performance review to evaluate scope, outcomes, hours, and future responsibilities.
Why Join Virtual Peace of Mind?
  • Mission-Driven Work: Help strengthen the systems behind accessible, high-quality mental health services for students, families, and communities.
  • Meaningful Executive Impact: Apply deep business experience to measurable organizational accountability and sustainable growth.
  • Flexible Fractional Structure: Contribute at a senior level within a focused 12–15-hour weekly commitment.
  • Strategic Partnership: Work directly with the CEO and collaborate with established department leaders.
  • Potential Growth Path: Opportunity to be considered for expanded fractional operations leadership, including a future FCOO role, based on organizational need and performance.
Weekly Key Performance Indicators (Accountability & Execution)
  • Complete 100% of scheduled weekly departmental accountability reviews or document timely rescheduling.
  • Maintain a current action tracker with owners, deadlines, status, and escalation notes for all identified priorities.
  • Deliver one concise weekly CEO report identifying completed commitments, overdue items, performance risks, and recommended decisions.
  • Follow up on all high-priority overdue actions within the agreed escalation timeframe.
  • Document recurring operational failures and track progress on approved corrective measures through resolution.
  • Maintain professional confidentiality and prompt escalation of material risks.
