Job summary

Moana Nursery is seeking a Floral Operations Administrator for The Florist at Moana and Stem Studio. This role is the operational hub of the floral department—hands‑on, organized, and focused on keeping flowers, orders, teammates, customers, deliveries, and inventory moving smoothly.

You will coordinate daily priorities with the owner and floral manager, support designers, drivers, customers, marketing and retail teammates, and ensure accurate, timely fulfillment of all orders while maintaining

Qualifications

• Administrative, scheduling, retail operations or customer-service experience.
• Strong verbal and written communication skills.
• Excellent attention to detail and follow-through.
• Ability to organize schedules, orders, inventory, deliveries and time-sensitive tasks.
• Strong computer skills and ability to learn business systems.
• Coordinate effectively with owner, floral manager, marketing, designers, drivers and retail teammates.
• Sound judgment handling customer concerns, substitutions, delivery issues, online orders and operational problems.
• Ability to work independently while keeping the owner and manager informed.
• Availability to work a full-time retail schedule, including some weekends and peak floral holidays.

Responsibilities

• Upholds Moana Nursery’s safety policies and floral sanitation standards.
• Helps coordinate the daily operations of The Florist at Moana and Stem Studio.
• Prepares and maintains the floral team’s work schedule based on staffing needs and priority.
• Coordinates daily assignments, workflow and coverage for designers, assistants and drivers.
• Reviews delivery, pickup, phone and eCommerce orders for on-time completion.
• Communicates changing priorities clearly to the floral team.
• Identifies staffing, workflow, production or service concerns early and reports them.
• Helps prepare the department for holidays, events and peak periods.
• Answers floral calls, emails and voicemails promptly and professionally.
• Assists customers with delivery orders, pickups, custom arrangements and questions.
• Gathers complete order information including recipient details and design preferences.
• Responds to customer questions with care and urgency.
• Communicates substitutions or changes affecting an order.
• Organizes and manages daily delivery routes for accuracy.
• Coordinates with drivers and designers to ensure on-time departure.
• Monitors delivery progress and addresses access or address issues.
• Coordinates receiving, processing and storage of fresh flowers.
• Inspects incoming flowers for freshness and quality.
• Maintains hydrated, labeled, dated and rotated flowers in coolers.
• Maintains inventories of fresh flowers, vases, supplies and hardgoods.
• Receives, counts and verifies incoming orders; reports shortages or discrepancies.
• Maintains labeled and organized floral coolers and inventory boards.
• Supports inventory controls to reduce shrink and waste.
• Keeps Stem Studio stocked, clean and customer-ready daily.
• Monitors freshness and pricing of stems and supplies.
• Coordinates replenishment based on sales and priorities.
• Ensures displays and customer areas meet Moana standards.
• Coordinates product details for marketing (pricing, availability).
• Maintains a clean, safe and organized floral department.
• Establishes routines for cleaning and upkeep.
• Assists with basic arrangements when capacity allows.
• Helps complete orders during busy periods or staff shortages.
• Communicates priorities with designers about recipes and expectations.
• Learns Moana’s systems: Epicor, iNet, BloomNation.
