Job summary

TransMedics is seeking an Aviation Flight Scheduler to plan and coordinate aircraft schedules and crew for missions from start to finish. The role is anchored in our 24/7/365 Command Center in Andover, MA, with responsibilities spanning crew scheduling, flight coordination, NOTAM checks, and contingency planning to minimize delays.

The ideal candidate has aviation crew management experience, strong communication and analytical skills, and a willingness to work nights, weekends, and holidays.

Qualifications

• Prior experience in aviation, crew management, or customer service required.
• Knowledge of FARs relating to Part 91/135 operations.
• Ability to work quickly, calmly, and under pressure.
• Strong analytical skills and problem resolution abilities.

Responsibilities

• Receive incoming flight requests and schedule crews accordingly.

Job Description:POSITION SUMMARYThe Aviation Flight Scheduler for aircraft and crew will plan and coordinate aircraft schedules efficiently based on missions and crewing. The Scheduler is responsible for executing every aspect of the mission from beginning to end, anticipating the needs of TransMedics teams, the aircraft, and crew members. This position is based at our state-of-the-art 24/7/365 Command Center in Andover, MA.RESPONSIBILITIESThis position is responsible for, but not limited to, the following:Receive incoming phone calls for flight requests.Schedule crews, including adjusting for crews in training, sick, PTO etc., finding replacements and/or scheduling extra days as needed.Assist Dispatch with flight cancellations or reroutes.Determine the most efficient way to complete all requested missions with the available aircraft and crew.Select the aircraft and crew for flight requests.Ensure hangar availability if inclement weather is predicted.Set up early or late arrivals with FBO’s.Obtain required PPR’s and/or slots, check NOTAM’s, check weather at departure and arrival airports and proactively plan alternate airports as needed.Identify, anticipate, and take corrective action to minimize potential/actual delays due to scheduling operations, crew legality, and maintenance issues.Track Crew duty times for Federal regulations.Coordinate with Maintenance teams for aircraft maintenance, repositioning, and test flights.Coordinate with Maintenance when aircraft cleaning is needed.Comply with all Federal Aviation regulations for crew pairings, weather alternates, NOTAMS.Ensure all aircraft and crew logs are completed daily.Ensure compliance with all company policies and safety standards, including complete knowledge of Part 135 regulations.Review, prepare, and submit post-flight expense reports.Special projects and duties as assigned by department supervisors.Performs other TransMedics tasks and duties as requiredMANAGEMENT RESPONSIBILITIESThis position manages the following positions on a daily basis.This position will not have management responsibilities.PHYSICAL ATTRIBUTESGeneral office environment sitting for extended periods at a computer.Use hands and fingers for typing and operating equipment.Have good vision and hearing to communicate with staff.Possess basic organizational skills to manage complex schedules.MINIMUM QUALIFICATIONSPrior experience in aviation, crew management, or customer service required.Strong personal and work ethics along with a high level of integrity.Knowledge of FARs in regard to Part 91/135 operations.Must be able to work well in a fast-paced environment and be flexible to the changing needs of the business.Must have the ability to work quickly, calmly, and under pressure.Strong analytical skills along with ability to think outside the box.Attention to detail.Excellent oral/written communication and problem resolution skills are required.Proficiency in using industry-specific software and tools with the aptitude to learn new software.365/24/7 operation - must be willing to work nights and weekends and Holidays if required.As part of our long-term growth plans, TransMedics is excited to announce our plan to relocate our headquarters (HQ) to Somerville, MA by 2028. The expected base salary range for this role is $100,900.00-$125,900.00 which represents the company’s current good-faith estimate of compensation for this position. Actual salary will depend on factors such as, but not limited to, candidate experience, qualifications, skills, and the specific work location. This role may also be eligible for bonuses, equity, and a comprehensive benefits package (medical, dental, vision, retirement savings, paid time off, and wellness resources).
