Job summary

City of Loveland is seeking a Fleet Service Coordinator to serve as the primary contact for internal and external fleet customers, ensuring accurate asset inventory and live repair flow for a diverse fleet of heavy, light duty, and off-road vehicles including emergency response and fire apparatus.

The role involves initiating work orders, coordinating with outside vendors, monitoring schedules, and maintaining fleet records in FIMS.

Qualifications

  • Associate degree or higher required.
  • 2 years' experience in a similar position with a Municipal fleet or automotive/truck repair facility preferred.
  • Experience with CCG-FASTER software highly desirable.

Responsibilities

  • Provides exceptional customer service and is the primary contact for collecting vehicle repair and service need intake.
  • Initiates work orders, adjusts priority of orders, coordinates service with outside vendors as well as tracks and communicates progress of repairs and services.
  • Monitors and updates schedules, appointments and systems ensuring efficient and smooth workflows for the team.
  • Responsible for validation of information, accuracy in data entry, management and reporting.
  • Analyzes reports and data, identifies trends, variances and makes decisions and recommendations.
  • Processes invoices for review and payment.

Description

Job Summary:

Contributing to the overall mission of the division and organization, this position is the primary point of contact for internal and external fleet customers, ensures accuracy of asset inventory and records using fleet software while providing balanced and effective flow of work for repair and maintenance of a complex and diverse fleet of heavy, light duty, and off-road vehicles including emergency response and fire apparatus.

The salary range for this position is $23.00- $32.20 per hour with ahiring range of$23.00 - $27.60,depending on qualifications and experience.

This opportunity will be available to applicants until Friday, 9.11.2026 at 12:00 P.M. M.S.T.

Essential Functions:

  • Provides exceptional customer service and is the primary contact for collecting vehicle repair and service need intake.
  • Consistently communicates information between the Fleet operation and customers.
  • Initiates work orders, adjust priority of orders, coordinates service with outside vendors as well as tracks and communicates progress of repairs and services.
  • Monitors and updates schedules, appointments and systems ensuring efficient and smooth workflows for the team.
  • Responsible for continuous and ongoing communication of fleet related items throughout the organization.
  • Responsible for validation of information, accuracy in data entry, management and reporting.
  • Analyze reports and data, identifies trends, variances and makes decisions and recommendations.
  • Processes invoices for review and payment.
  • Schedules customers and technicians for repair and maintenance.
  • Tracking of information to monitor cost, time, efficiency and trends.
  • Utilizes systems and software for tracking and reporting. Is the main liaison for fleet maintenance systems.
  • Responsible for fleet emissions compliance, safety recalls and warranty repairs/scheduling.
  • Responsible for initial automotive repair concerns and escalates for resolution.
  • Responsible for ensuring accuracy of fleet records in FIMS.
  • Responsible for scheduling installation of special-order parts.

Other Job Functions:

  • Performs other duties as assigned.

Qualifications:

  • Associate degree or higher required.
  • 2 years' experience in a similar position with a Municipal fleet or automotive/ truck repair facility preferred.
  • Experience with CCG-FASTER software highly desirable.

Equivalency:

  • An equivalent combination of education and or experience may substitute for education requirements on a year for year basis.

Certifications:

  • Must possess a valid driver's license.
  • ASE Service Advisor Certification is highly desired.

Knowledge, Skills, and Abilities:

  • Proven ability to provide superior customer service, communicating effectively, and diplomatically, with internal and external customers, and citizens.
  • Strong communication skills, both verbal and written.
  • Ability to provide high level triage of service difficulties and assign work to appropriate technician.
  • Ability to adapt to changing workload, and manage multiple priorities in a fast paced environment.
  • Proven accuracy and attention-to-detail.
  • Proficiency with systems.
  • Demonstrated timely and accurate data-entry skills.
  • Familiarity with general shop safety requirements.
  • Basic understanding of auto and truck vehicle components

Physical Demands and Working Conditions:

  • Frequent light to moderate physical effort that includes frequent standing or walking or maintaining arms and hands in the same position for repetitive tasks. Frequently works with light objects and light hand tools.
  • Frequent e xposure to routine office noise and equipment.
  • Occasional e xposure to hazards that are predictable or well protected against.

  • This position is considered essential personnel required to report for duty in response to community emergencies (e.g. natural disaster, fire, flood, blizzard, etc.).
