Job Purpose
The Manager of Fleet Operation (MFO) is responsible for strategic leadership, oversight, and performance of the company’s fleet operations across multiple divisions. This role oversees a fleet of 150+ tractor-trailers and the compliance and safety of all commercial vehicle operations. The Manager will lead a team focused on compliance, maintenance, driver safety, cost control, and operational efficiency. This individual will ensure adherence to all regulatory standards (FMCSA, DOT, IRP, IFTA) and support the growth and effectiveness of the fleet to serve the company’s 2,100 employees and evolving business needs. The MFO will be required to maintain a CDL Class A.
Essential Duties and Responsibilities
- Develop and execute fleet strategy aligned with organizational goals.
- Lead a team of fleet compliance and operations professionals across business units.
- Collaborate with divisional leaders to ensure fleet support aligns with operational demands.
- Supervises the maintenance, operations and repairs of a fleet which includes automobiles, tractor trailers, trucks, agriculture trailers, company vehicles and ag equipment
- Prepares and writes specifications for automotive vehicles and equipment, supplies, and materials
- Provides budget recommendations for fleet operations
- Approves requisitions, purchase orders
- Licenses and registrations for all vehicles
- Develops and implements a preventative maintenance program for entire fleet
- Recommends appropriate methods and repairs to recondition the fleet
- Maintain full compliance with FMCSA, DOT, IRP, IFTA, EPA, and other relevant transportation regulations
- Supervise filings, inspections, licensing, reporting, and audits to minimize legal risk
- Lead incident investigations and ensure resolution and follow-up actions are completed
- Ensure optimal fleet utilization, asset tracking, and cost control measures are in place
- Implement technology and systems to support fleet visibility and performance metrics
- Policy Development and Compliance: Establish, enforce, and review fleet policies related to fleet utilization, maintenance, safety, and regulatory compliance to ensure alignment with industry standards and legal requirements
- Oversee compliance with all local, state, and federal regulations, including vehicle inspections, licensing, emissions standards, safety protocols and all DOT, EPA, OSHA requirements
- Manage risk and safety programs, reducing incidents, accidents, and liabilities related to fleet
- Promote a culture of safety, compliance, and continuous improvement across all fleet operations
- Oversee driver safety programs, training, monitoring systems, and performance evaluations
- Manage accident review processes and drive corrective and preventative initiatives
- Develop and manage the annual fleet budget, including forecasting, capital planning, and operating expenses
- Track and report key performance indicators (KPIs) related to fuel usage, maintenance costs, compliance, and productivity
- Present regular updates and strategic recommendations to executive leadership
- Driver safety training events (Truck Rodeo)
- Work with managers to enforce fleet safety and compliance policies and procedures
- Maintain DOT drug testing compliance program
- Manage the ELD, cameras, and fleet safety compliance program
- Any other duties assigned
Education and/or Experience
Required
- 10+ years of progressive experience in fleet operations, logistics, or transportation management.
- 5+ years of leadership experience managing people and fleet operations.
- Comprehensive understanding of FMCSA, DOT, IRP, IFTA, and related transportation compliance requirements.
- Experience managing fleet budgets, vendor relationships, and vehicle life cycles.
- Strong leadership, communication, and cross-functional collaboration skills.
- Proficient with fleet management systems, ELD platforms, and data analytics tools.
Preferred
- Bachelor’s degree in business, Transportation, Logistics, or a related field.
- Experience in agriculture, food supply, or commercial logistics.
- CDL or direct experience with commercial vehicle operations (a plus).
This role often involves time in a professional office overseeing logistics, data analysis, and strategic planning, along with regular visits to fleet yards, maintenance facilities, or operational sites to supervise fleet activities and ensure compliance. The position will also require travel to various company locations, vendor meetings, or industry events, with frequent use of computers, fleet management software, and communication tools.
