Fleet Manager

Location: Longs, SC 29568
Position Type: Direct Hire | Full-Time | Salaried
Salary: $60,000–$75,000 annually, depending on experience
Travel: Occasional travel to the Wilmington, NC branch as needed

Position Overview

We are seeking an experienced and highly organized Fleet Manager to oversee the maintenance, organization, safety, and overall performance of company vehicles, trailers, heavy equipment, landscape equipment, tools, and shop assets.

This is a hands-on leadership position responsible for ensuring fleet assets remain safe, operational, properly maintained, and available to support daily operations. The Fleet Manager will work closely with branch leadership, operations teams, crew leaders, safety personnel, and outside vendors to minimize equipment downtime, control costs, and maximize the useful life of company assets.

The ideal candidate has strong mechanical knowledge, fleet or equipment management experience, excellent organizational skills, and the ability to proactively identify and resolve maintenance and operational issues.

Key Responsibilities
Fleet & Equipment Management
  • Maintain accurate inventory and records for company trucks, trailers, heavy equipment, landscape equipment, power tools, and shop equipment.
  • Track vehicles and equipment by location, department, or crew.
  • Maintain asset information including VINs, serial numbers, engine hours, mileage, registrations, warranties, and maintenance history.
  • Conduct regular fleet and equipment audits to verify condition and accountability.
  • Monitor fleet readiness and ensure equipment is available to support daily operations.
Preventative Maintenance & Repairs
  • Develop, manage, and maintain preventative maintenance schedules for vehicles and equipment.
  • Monitor mileage, engine hours, and service intervals to ensure maintenance is completed on schedule.
  • Coordinate routine maintenance including oil changes, filters, hydraulic service, tires, brakes, inspections, lubrication, batteries, and other required services.
  • Coordinate repairs with internal personnel and outside vendors.
  • Prioritize repairs based on operational needs and equipment availability.
  • Identify recurring equipment problems and help implement long-term solutions.
  • Monitor equipment downtime and ensure replacement equipment is available when necessary.
Vehicle, Trailer & Compliance Management
  • Oversee regular inspections of company vehicles and trailers.
  • Maintain required registrations, license plates, insurance documentation, inspections, and applicable DOT records.
  • Ensure vehicles and trailers remain safe, clean, organized, and professional in appearance.
  • Coordinate replacement, disposal, or retirement of aging or high-cost fleet assets.
Tool & Asset Accountability
  • Maintain a structured process for issuing and tracking tools and equipment.
  • Conduct periodic equipment and inventory counts.
  • Investigate missing, lost, or damaged equipment.
  • Recommend replacement of worn, damaged, or obsolete tools and equipment.
  • Promote employee accountability and proper care of company assets.
Shop & Parts Inventory
  • Maintain a clean, organized, and safe shop environment.
  • Organize parts, filters, fluids, oils, hardware, safety supplies, and other maintenance materials.
  • Maintain appropriate inventory levels of commonly used parts and consumables.
  • Establish and maintain consistent shop organization and cleanliness standards.
Vendor & Cost Management
  • Develop and maintain relationships with equipment dealers, service providers, and repair vendors.
  • Obtain competitive pricing for repairs, maintenance, parts, and replacement equipment.
  • Coordinate warranty claims and outside repairs.
  • Monitor vendor performance and quality of completed work.
  • Assist with fleet budgeting and monitor repair, maintenance, fuel, and equipment replacement expenses.
  • Identify opportunities to reduce operating costs and improve fleet efficiency.
Safety & Training
  • Ensure fleet assets comply with company safety standards and applicable OSHA and DOT requirements.
  • Perform regular equipment and fleet safety inspections.
  • Ensure required lights, alarms, safety decals, fire extinguishers, and other safety equipment remain operational.
  • Maintain accurate maintenance and inspection documentation.
  • Train and support crew leaders on equipment inspections, equipment care, proper loading and unloading, maintenance responsibilities, and reporting procedures.
  • Help develop standardized equipment inspection checklists and procedures.
Qualifications
  • Minimum 5 years of fleet, equipment, maintenance, or related management experience preferred.
  • Strong mechanical aptitude and understanding of vehicle and equipment maintenance.
  • Experience working with commercial vehicles, trailers, heavy equipment, construction equipment, landscaping equipment, or similar assets preferred.
  • Experience with preventative maintenance programs or fleet management systems preferred.
  • Strong organizational, problem-solving, communication, and leadership skills.
  • Ability to coordinate multiple repairs, priorities, vendors, and operational needs simultaneously.
  • Ability to maintain accurate fleet, maintenance, and inventory records.
  • Valid driver's license required.
  • CDL preferred but not required.
  • Ability and willingness to travel occasionally between Longs, SC and Wilmington, NC as business needs require.
